About the Role

Description

The Project Manager oversees all phases of HVAC and/or plumbing projects, ensuring the completion of projects on time, within budget, and aligned with customer expectations. This role combines technical expertise with leadership to manage multiple commercial projects simultaneously, ensuring operational efficiency, financial oversight, and team success. The Project Manager works closely with internal teams and external stakeholders to drive quality, safety, and profitability across all project phases. The core areas of responsibility are listed below, however other duties and responsibilities may be required to meet business needs and objectives.

Requirements

Project Planning & Execution:

  • Lead HVAC and/or plumbing projects from pre-construction through close-out, ensuring project success by meeting time, budget, and quality goals.
  • Develop and execute detailed project plans, including scheduling, resource allocation, and risk mitigation strategies.
  • Collaborate with preconstruction teams to review estimates, proposals, and contracts, developing the project business plan to meet client and internal goals.

Contract & Financial Management:

  • Review contracts and ensure compliance with boilerplate terms, payment terms, and retainage policies.
  • Oversee budget management, forecasting costs, and providing accurate projections for billing and revenue.
  • Track and approve change orders, manage vendor and subcontractor buyouts, and ensure cost control through procurement.

Procurement & Vendor Management:

  • Oversee material procurement, ensuring proper selection and delivery of all equipment and supplies.
  • Administer and negotiate subcontractor agreements and manage vendor relationships to maintain quality and cost efficiency.
  • Monitor long lead items and ensure all project materials are available to meet schedule requirements.

Communication & Documentation:

  • Serve as the primary point of contact for internal teams, clients, and external stakeholders, ensuring clear communication and status updates.
  • Manage project documentation, including submittals, RFIs, and project filing, ensuring compliance with company standards.
  • Lead project meetings, including Pre-Project Meetings (PPM), engineering kickoffs, and regular status updates with clients and subcontractors.

Team Leadership & Resource Management:

  • Lead and mentor project teams, including assistant project managers, field staff, and subcontractors.
  • Develop manpower plans in collaboration with field teams and monitor the productivity of all trades to ensure schedule adherence.
  • Provide training and guidance to junior staff and ensure continuous improvement in project management processes.

Quality & Safety Management:

  • Ensure adherence to safety policies and procedures, coordinating safety plans for job sites.
  • Conduct regular site visits to ensure quality control, adherence to project specifications, and alignment with safety protocols.
  • Oversee project close-out procedures, including O&M submissions, final inspections, and documentation handover.

Change & Risk Management:

  • Implement change management processes to control changes related to scope, schedule, and budget.
  • Identify and mitigate risks to avoid production delays and cost impacts.
  • Ensure timely resolution of scheduling issues caused by external factors such as weather or site conditions.

Key Performance Indicators (KPIs):

  • Project Financials: Achieving or exceeding project margin targets by successful delivery of projects on time, within budget, and to client specifications.
  • Client Satisfaction: High client satisfaction, with successful project outcomes and strong relationships
  • Leadership/Mentorship: Effective management of project teams and stakeholders, fostering collaboration and communication.
  • Compliance with safety and quality standards throughout the project lifecycle.

Required Knowledge, Skills, and Abilities:

  • Strong leadership, communication, and organizational skills.
  • Proficiency in HVAC and plumbing systems, including sheet metal and piping.
  • Expert knowledge of project management software (e.g., Viewpoint, MS Project, MS Office Suite).
  • Ability to manage multiple projects, delegate tasks, and maintain focus on project goals.
  • Decisiveness in problem-solving, risk management, and decision-making.
  • Strong financial acumen, with experience managing project budgets and cost controls.
  • Understanding of construction safety standards and regulatory compliance.

Minimum Qualifications:

  • Bachelor’s degree in Construction Management, Business, or related field preferred or equivalent work experience.
  • 5+ years of experience in the mechanical contracting industry, with a focus on large-scale commercial projects or equivalent transferrable experience.
  • Proven experience in managing mechanical projects, including HVAC and plumbing systems.
  • Strong understanding of project management principles, financial tracking, and budgeting.

Preferred Qualifications:

  • PMP (Project Management Professional) certification or similar credentials.
  • Experience in managing high-value or complex mechanical contracting projects.
  • Knowledge of additional software tools used in mechanical contracting and construction project management. ( Viewpoint, Microsoft Project etc)
