Job Description

As the Group Sales Coordinator, you will assist the Group Sales Managers and act as a key liaison between clients and resort departments, ensuring that all arrangements are efficiently secured before the group's arrival.

  • Support Sales Managers by coordinating the pre-conference meeting with the client and resort staff.
  • Prepare and process the contract, send it to the client, and establish a file for office records.
  • Obtain necessary signatures on the contract and distribute copies to all relevant parties.
  • Coordinate billing and payment processes with the client.
  • Collaborate with internal teams to manage all aspects of the group's requirements.
  • Maintain tax-exempt forms and ensure copies are distributed to applicable departments, if required.
  • Handle and process banquet requests through the company’s system.
  • Receive rooming lists and input the information into the resort’s systems.
  • Distribute the group resume to the resort property.
  • Follow up with the resort staff on the day of the group's arrival.
  • Coordinate with the Food & Beverage department for banquet setups.
  • Produce and file a recap report of the group's stay.

Qualifications

  • Two-year certificate from a college or technical school; or six months to one year of related experience and/or training; or an equivalent combination of education and experience.
  • Intermediate proficiency in Microsoft Word and Excel.
  • Excellent customer service skills.
  • Strong organizational skills.
  • Proficiency in data entry.
  • Ability to multitask in a fast-paced environment.
  • Bilingual (English/Spanish) skills are a plus but not required.
