The Sales & Client Intake Specialist is responsible for booking qualified estimates for clients through outbound prospecting and inbound lead handling. This role also involves managing CRM operations and supporting marketing efforts.

Schedule:- 20 hours a week
- Monday - Friday 9 am- 1 pm EST
Book 5+ qualified estimates/month for clients through a mix of outbound prospecting, fast inbound response, and disciplined CRM operations. Support marketing operations by posting pre-made content, managing reputation, and ensuring reporting compliance.
Core Responsibilities
1. Lead Handling (Inbound)
- Monitor HubSpot forms & live chat in real time.
- Return calls within 10 minutes during business hours.
- Qualify leads and book estimates directly on the calendar.
2. Outbound Prospecting (Primary Focus)
- Load lead lists and send cold emails daily.
- Execute a structured call cadence: 100 attempts over 10 business days.
- Nurture prospects and convert them into qualified booked estimates.
3. CRM Hygiene & Data Integrity
- Create/merge contacts in HubSpot.
- Set lifecycle stages and deal stages consistently.
- Tag lead sources (Outbound, Meta, Google, Web).
- Log notes and set clear next-step tasks after every interaction.
4. Reputation & GBP Management
- Post pre-made content to Google Business Profile 1–2× per week.
- Request reviews from clients within 48 hours of “Won” jobs.
- Reply to all new reviews professionally and on time.
5. Reporting & Analytics
- Update daily KPIs (calls, emails, booked estimates).
- Contribute to weekly analytics refresh.
- Surface blockers in the Monday Work-in-Progress (WIP) meeting.
6. Compliance & Quality
- Follow TCPA / DNC and CAN-SPAM guidelines.
- No auto-dialers without prior consent.
- SMS outreach only with explicit opt-in.
- Protect client and company data.
Key Performance Indicators (KPIs)
- 5+ Qualified Estimates booked/month
- Speed-to-lead: ≤10 minutes during business hours
- Call cadence: ≥100 attempts per new lead in 10 business days
- CRM compliance: 100% of calls/emails logged same day + next task set
- Review requests: Sent within 48 hours of “Won” jobs + reminder at 5 days
Qualifications & Requirements
- Sales or appointment setting experience is a must.
- Inbound and Outbound call experience required
- Background in real estate or property management is a strong plus.
- Excellent spoken English (clear voice, near-native fluency required).
- Strong phone presence with sales confidence.
- HubSpot CRM experience preferred.
- Disciplined note-taking and attention to detail.
- Reliable internet connection and quiet work environment.
- Familiarity with Microsoft Office Suite (Excel, Outlook, Teams).
- (Preferred) Knowledge of Digital Marketing, SEO, and WordPress CMS.
Definition of a Qualified Lead
Counts toward KPI only if the lead meets all criteria:
- Homeowner/property manager in approved service areas.
- Meets minimum job size ($1.5k+ repairs | $8.5k+ projects).
- Ready to schedule an estimate within 7 days.
- Valid phone number and email.
- Not a duplicate lead within the past 60 days.
