About the Role

Description

The Vivarium is searching for an Administrative Assistant to help provide support and coordinate day-to-day administrative duties relative to Vivarium labs and processes.


The Role: 

· Prepare, process, and track invoices for vivarium-related services and supplies

· Maintain and update colony census records, including births, deaths, transfers, and breeding data

· Draft, review, edit, and submit Standard Operating Procedures (SOPs) in collaboration with facility leadership

· Coordinate scheduling and documentation for facility inspections and audits

· Assist with monitoring inventory levels of animal food, bedding, enrichment items, caging supplies, and cleaning agents

· Place orders and reconcile deliveries with inventory needs

· Maintain organized storage areas and update inventory databases regularly 

· Maintain accurate records of staff training certifications, renewals, and compliance documentation

· Assist in scheduling training sessions and onboarding for new personnel

· Support documentation for IACUC protocols and regulatory submissions

· Assist with data entry and reporting for animal health, environmental monitoring, and facility metrics

· Support digital and paper-based filing systems for easy retrieval and audit readiness


Our Ideal Candidate:

· High School diploma or equivalent required.

· One (1) year of job specific experience required.

· Valid Driver’s license

· Available to work Monday-Friday, 7am to 4pm with rotating schedule covering some weekends and holidays

Other: Work involves strenuous physical activities of various kinds with routine exposure to animals, hazardous substances, potentially dangerous situations, and unpleasant work conditions (e.g. exposure to unpleasant odors or adverse weather conditions). The laboratory environment is managed by stringent safety and health standards and with adherence to protocol, the risk is low.
