The Operations Manager will lead the development, implementation, and continuous improvement of DCS’s internal project delivery processes. This role ensures firmwide consistency, accountability, and operational clarity across all active projects. The Operations Manager will oversee project setup, schedule tracking, document control, quality assurance workflows, and monthly reporting—serving as a key liaison between technical teams and leadership to promote efficiency and standardization throughout the firm.
Key Responsibilities:
• Project Launch Management
o Coordinate and facilitate internal project kickoff procedures for all new projects
o Ensure digital project workspaces are set up with consistent structure and assigned responsibilities
• Schedule & Status Oversight
o Ensure project records are updated weekly to reflect current progress, staffing, and milestones
o Monitor internal tracking tools and follow up with project managers on overdue updates
• Workflow & QA/QC Standardization
o Develop, refine, and enforce firmwide templates and documentation standards
o Monitor quality control processes to ensure reviews are scheduled and completed for major deliverables
• Post-Project Review Coordination
o Organize and document closeout reviews, gathering feedback to inform continuous improvement
• File Structure & Document Control
o Maintain and enforce standardized file naming and organization protocols across the company’s network
o Conduct regular audits to ensure compliance and consistency
• Operational Dashboard Reporting
o Produce monthly internal performance dashboards for leadership, summarizing project activity, review compliance, and file accuracy metrics
• Project Team Support
o Serve as an operations resource for project managers and technical staff, helping eliminate ambiguity and improve internal processes.
Requirements
- Bachelor's degree in Business Administration and/or equivalent.
- 8–15 years of experience in Architecture/Engineering/Construction operations, project support, or workflow/process management
- Strong initiative and problem-solving skills with the ability to lead through influence
- Highly organized and structured thinker with excellent attention to detail
- Strong written and verbal communication skills; able to work cross-functionally with staff at all levels
- Proficiency with Microsoft 365 tools and experience with project management systems and structured file environments
- Experience developing and enforcing operational standards, processes, or workflows
