New Horizons of the Treasure Coast and Okeechobee is the most comprehensive mental health and substance use recovery agency in the region, with nine facilities across four counties serving 15,000 children and adults annually, regardless of their ability to pay. It offers inpatient and outpatient mental health care for adults and children, crisis units for adults and children, learning resource centers for independent living skills, a transitional group home, a primary care clinic, substance abuse and detox services, case management, family support and counseling, and programs in schools and with law enforcement agencies. New Horizons provides a safety net for those in crisis, outreach programs to promote resilience and recovery, and community education to help our community achieve health in both mind and body.

New Horizons of the Treasure Coast is the largest mental health and addiction recovery provider on the Treasure Coast (and beyond), serving 15,000 children and adults annually through inpatient crisis services, 24-hour help line, and mobile response team, and outpatient programs conveniently located across Indian River, Martin, Okeechobee, and St. Lucie counties. In addition, New Horizons supports 22,000 students in local schools, and we collaborate closely with the courts, law enforcement, jails, and hospitals to enhance the health of individuals and improve the quality of life in our community.

About the Role

The Outpatient Support & Data Lead plays a vital role in coordinating outpatient operations, mentoring administrative staff, and transforming operational data into actionable insights. This position ensures a balance between compassionate service and efficient workflow — helping our team deliver outstanding care and support to every patient we serve.

  

Administrative Oversight

• Supervise daily front-office operations, ensuring smooth patient flow from check-in to check-out.
• Maintain schedules for providers, clinical staff, and support personnel.
• Oversee appointment scheduling, cancellations, and rescheduling to optimize provider productivity.
• Manage electronic health record (EHR) workflows — including documentation, data, and patient records management.
• Ensure all office supplies and medical inventory are adequately stocked and ordered on time.
• Collect, validate, and analyze operational and performance data to support decision-making and quality improvement.
• Prepare data reports as requested to guide workflow optimization and staffing efficiency.
• Use data insights to identify bottlenecks, forecast staffing needs, and recommend process improvements.
• Treat data integrity and accuracy as equivalent in importance to client care.
• Ability and willingness to travel to support other outpatient offices as needed.

  

Staff Supervision and Training

• Mentor new hires and support continuing education for staff (HIPAA, OSHA, customer service, etc.).
• Serve as a backup for administrative and front-office staff as needed to maintain smooth operations.
Mentor by guiding and teaching staff to promote independence and accountability rather than completing tasks for them.
• Address interpersonal issues and foster a professional, positive work culture.
• Escalate issues to the supervisor as needed.

  

Customer Service Excellence

Champion exceptional customer service by modeling professionalism, empathy, and responsiveness.
Monitor patient satisfaction and service metrics, addressing concerns promptly and implementing continuous improvements.
• Promote clear communication between patients, clinical teams, and all other departments.
• Reinforce a patient-first approach, balanced with operational excellence and team support.

  

Technology and Records Management

• Ensure proper security of digital records and adherence to data privacy laws.
• Maintain accuracy and integrity of all data systems — treating data management with the same importance as client care.
• Collect, validate, and organize operational data to ensure accurate reporting and meaningful insights.
• Use data to drive decision-making and identify opportunities for workflow or service improvement.
• Participate as assigned in leadership meetings to align operations with organizational goals.
• Assist with data-driven decision-making by maintaining accurate and timely reporting.

   


Requirements

Education and Experience:  

  • An associate's degree or five years of experience will be considered.  
  • A minimum of two years of supervisory experience is required
