Position Summary
The Inventory & Logistics Lead oversees the daily operations of all inventory functions, including frozen, refrigerated (cold chain), and ambient temperature products. This role provides leadership and direction to the Inventory Control and Distribution Specialists and ensures accurate, compliant, and efficient management of all materials moving through the warehouse and pharmacy environments.
This individual is responsible for maintaining product integrity, optimizing workflow, and driving performance through process improvements, strong collaboration, and adherence to DSCSA, FDA, DEA, and state pharmacy board regulations.
Key Responsibilities
Leadership & Oversight
- Lead and manage the Inventory Control and Distribution Specialists team, ensuring accurate receiving, storage, and distribution of all temperature-controlled and ambient products.
- Train, coach, and evaluate team performance to ensure operational excellence and adherence to SOPs.
- Coordinate scheduling, workload prioritization, and task assignments to meet daily operational demands.
- Foster a culture of accountability, safety, and compliance across the inventory and logistics team.
Inventory Management
- Oversee the receipt, inspection, storage, and documentation of frozen (-20°C), refrigerated (2–8°C), and ambient pharmaceutical inventory.
- Ensure accurate inventory control through regular audits, reconciliations, and variance reporting.
- Maintain compliance with DSCSA, FDA, DEA, and state requirements for storage, tracking, and documentation.
- Monitor temperature logs and respond promptly to temperature excursions or product integrity concerns.
- Optimize inventory layout and flow to maximize efficiency and minimize risk of mix-ups or spoilage.
Logistics & Distribution
- Oversee outbound and inbound shipments across all temperature zones, ensuring appropriate packaging, labeling, and documentation.
- Collaborate with pharmacy, fulfillment, and operations teams to coordinate timely replenishment and distribution.
- Manage logistics relationships, including carriers and suppliers, to ensure cost-effective and compliant shipping solutions.
- Implement best practices for cold chain and frozen product handling, ensuring product quality through last-mile delivery.
- Evaluate logistics performance metrics and identify opportunities for improvement.
Compliance & Quality Assurance
- Maintain strict adherence to internal SOPs and regulatory standards governing pharmaceutical distribution.
- Support audits, inspections, and documentation reviews from regulatory agencies and partners.
- Ensure accurate recordkeeping for all controlled substances and temperature-sensitive items.
- Lead root cause analysis and implement corrective actions following inventory discrepancies, excursions, or compliance issues.
Process Improvement & Reporting
- Develop and implement process improvements to enhance accuracy, efficiency, and safety in inventory operations.
- Utilize data and KPIs to track team performance, identify bottlenecks, and drive operational excellence.
- Collaborate cross-functionally to align logistics processes with pharmacy operations and engineering systems.
- Prepare and present reports to leadership on inventory accuracy, compliance, and logistics performance.

Qualifications
- [High school diploma or equivalent required; Associate or Bachelor’s degree in logistics, supply chain, or related field preferred.
- 3+ years of experience in inventory management, logistics, or supply chain operations (healthcare or pharmaceutical industry preferred).
- 1+ year of experience in a supervisory or lead role.
- Experience managing frozen, cold chain, and ambient temperature product inventory.
- Familiarity with ERP’s.
- Strong organizational and analytical skills, with attention to detail and accuracy.
- Ability to push, pull, or lift up to 50 lbs and work in refrigerated and frozen environments.
- Willingness to work flexible hours, including weekends or evenings, as operationally required.

- Location: On-site
- Schedule: Full-time
- May require availability or flexibility for escalations.
- Regular meetings with teams, departments, or leadership to ensure alignment.
Key Essential Functions
- Must be able to stand for at least 4 hours at a time while working.
- Must be able to lift up to 25 pounds with or without reasonable accommodation.
- Must perform repetitive motions for an entire shift, including bending, reaching, lifting, and scanning.
- Must be able to work onsite when required.
- Participate in vendor sourcing, evaluations, and contract negotiations to secure favorable pricing, terms, and service levels.
- Manage and prioritize multiple purchase orders, vendors, and projects simultaneously in a fast-paced environment.
- Process and track purchases with a high level of accuracy, efficiency, and organization, ensuring timely delivery and proper documentation.
- Maintain accurate procurement records and ensure compliance with company policies and applicable regulations.
- Communicate effectively with internal stakeholders to understand purchasing needs and resolve order or vendor issues.
