The Inventory Clerk plays a critical role in the accounting and inventory control functions of our marine dealership group. This position is responsible for accurate and timely entry of inventory transactions, accounts payable processing related to inventory, and the preparation of payments for consignments and lien payoffs. Reporting directly to the Group Controller, the Inventory Clerk works closely with dealership management, sales teams, and lenders to ensure inventory records, titles, and financial obligations are properly recorded, validated, and cleared.
This role requires strong attention to detail, a solid understanding of inventory and AP processes, and the ability to work across multiple dealership locations and systems.
Key Responsibilities
Inventory & Accounting Support
- Enter new inventory (boats, motors, trailers, and related units) into the dealership management and accounting systems accurately and timely.
- Maintain accurate inventory records, including costs, freight, rigging, and applicable adjustments.
- Assist with inventory reconciliations between the DMS and the general ledger.
- Support month-end close activities related to inventory and inventory-related accounts.
- Warranty register sold units with the manufacturers.
Accounts Payable, Consignments & Payments
- Enter inventory-related accounts payable invoices, ensuring proper coding, approvals, and documentation.
- Validate street purchase and consignment paperwork for completeness and accuracy prior to issuing payment, including required titles, bills of sale, payoff statements, and signed agreements.
- Prepare and process check runs related to inventory purchases, consignments, and lien payoffs.
- Cut, track, and reconcile checks issued for consignment payouts in accordance with executed agreements and internal controls.
- Communicate incomplete or missing documentation to dealership personnel and resolve issues prior to payment.
Lien Payoffs & Title Coordination
- Coordinate lien payoffs with lenders and internal sales teams to ensure timely release of liens.
- Review payoff statements for accuracy prior to issuing payment.
- Track payoff confirmations and follow up on outstanding lien releases.
- Maintain organized records of payoff documentation and title status.
Compliance & Internal Controls
- Ensure inventory, AP, consignment, and lien payoff transactions comply with company policies and internal controls.
- Maintain organized, audit-ready documentation supporting all payments.
- Identify discrepancies, missing documentation, or control issues and escalate to the Group Controller as needed.
Cross-Functional Support
- Work closely with sales, operations, and accounting teams across multiple dealership locations.
- Respond to internal inquiries related to inventory status, payments, consignments, and lien payoffs.
- Assist with audits, lender requests, and special projects as assigned by the Group Controller.
Requirements
- High school diploma or equivalent; associate degree in accounting or business preferred.
- 1–3 years of experience in accounting, inventory, or dealership administration (marine, powersports, or automotive preferred).
- Strong data entry skills with exceptional attention to detail.
- Proficiency in accounting software and dealership management systems (Lightspeed DMS experience preferred).
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong organizational and communication skills.
Preferred
- Experience with multi-location dealership operations.
- Working knowledge of general ledger and accounts payable processes.
