About the Role

Description

Job Summary:

The Front Desk Coordinator is responsible for warmly welcoming patients, managing scheduling and administrative tasks, and supporting the clinical and administrative teams in ensuring a seamless patient journey.

Key Responsibilities:

  • Greet patients with a friendly, professional demeanor
  • Answer phone calls, texts, and emails promptly and professionally
  • Schedule and confirm appointments using [practice management software – e.g., Dolphin, Ortho2, Cloud9]
  • Maintain and update patient records accurately
  • Handle patient check-in and check-out processes
  • Collect and process co-pays and payments
  • Coordinate with clinical staff to ensure timely patient flow
  • Maintain a clean, organized, and welcoming front office area
  • Assist with insurance verification and claims when needed
  • Support marketing and patient engagement efforts (referrals, reviews, contests, etc.)
  • Uphold HIPAA compliance and patient confidentiality at all times

Qualifications:

  • High school diploma or equivalent (required)
  • 1+ year of front desk or customer service experience (dental/orthodontic preferred)
  • Familiarity with orthodontic terminology and insurance processes is a plus
  • Strong communication and organizational skills
  • Professional appearance and positive attitude
  • Ability to multitask and remain calm under pressure
  • Proficiency with Microsoft Office and practice management software
