Job Summary: 

MIMCO is seeking a highly organized and analytical Tax & Insurance Analyst to manage and improve the processes related to property tax compliance, insurance policy administration, forecasting, budgeting, and claims management for a portfolio of commercial real estate assets. This role plays a key part in ensuring compliance with tax and insurance obligations, improving operational efficiency, and identifying cost-saving opportunities while maintaining strong internal and external collaboration across departments and third-party consultants. This position exists in a temperature-controlled environment. 

Essential/Key Functions: 

  • Property Tax Management, Compliance, & Reporting

o Partner with tax consultants, Accounting, and Property Management teams to ensure accurate assessments and tax obligations.

o Review property tax assessments and manage the appeal/protest process for over-assessed properties.

o Coordinate invoicing and payments for third-party tax consultants and City Brokerage, ensuring accuracy and compliance.

o Monitor tax budgets and accruals, identifying and addressing variances or discrepancies.

o Support negotiations related to abatements, exemptions, and tax incentives.

o Ensure timely payment of all tax obligations for MIMCO-managed partnerships.

o Coordinate with Lease Administrators to ensure proper collection and remittance of tenant real estate tax reimbursements.

o Maintain jurisdictional tax compliance and respond to notices in coordination with Legal and Accounting.

o Oversee the use and effectiveness of the Yardi Tax Module.

  • Tax Forecasting, Research, & Planning

o Prepare projections and scenario analyses to support budgeting and strategic decision-making.

o Collaborate with Finance and Accounting to ensure accuracy in tax expense recognition and deferred taxes.

o Monitor changes in tax legislation that impact MIMCO’s portfolio and operations.

o Identify tax-saving strategies, including abatements and local incentives.

o Estimate tax implications of acquisitions, dispositions, refinances, and lease agreements.

  • Insurance Policy Management, Cost Analysis, & Budgeting

o Review and manage all insurance policies across the portfolio for appropriate coverage.

o Analyze property-level insurance costs and allocations; identify cost-saving opportunities.

o Collaborate with brokers to evaluate and benchmark insurance policies for adequacy and competitiveness.

o Assist with the preparation of insurance budgets and forecasts for current assets and acquisitions.

o Ensure coverage adequacy including general liability, loss of rent, named storm, flood, umbrella, and specialty policies.

o Evaluate alternative insurance structures such as self-insurance or captive.

o Track policy renewal dates; coordinate with accounting and insurance brokers for timely renewals.

o Monitor tenant insurance compliance and policy renewals through collaboration with Property Management.

o Communicate key insurance metrics and options to management and GPs.

  • Claims Management, Policy Compliance, & Documentation

o Serve as the primary contact for all insurance claims, working with internal teams and insurers.

o Coordinate collection and submission of required documentation for property, liability, and loss of rent claims.

o Track claim statuses, ensuring timely processing, communication, and resolution.

o Maintain accurate claims records and generate regular reporting for management.

o Ensure compliance with lease, lender, and regulatory insurance requirements.

  • Collaboration & Communication

o Work across departments to integrate tax and insurance considerations into operational and strategic decisions.

o Communicate critical tax and insurance obligations, timelines, and changes to relevant stakeholders.

o Manage third-party relationships with tax consultants and insurance brokers effectively.

o Clearly explain policy terms, claim processes, and risk management strategies to internal stakeholders.

  • Process Improvement & Training

o Evaluate and improve tax and insurance processes, including adoption of automation or software solutions.

o Standardize documentation and procedures for handling tax notices, bills, insurance renewals, and claims.

o Provide training to relevant employees on updates and procedures relating to taxes and insurance.

o Perform in a manner that will prevent errors and omissions.

o Comply with MIMCO policies and procedures.

o Physical presence on the job is essential and necessary.

o Other duties as assigned by management

Requirements

  

Minimum (Required) Qualifications:

Education

Bachelor’s degree in finance, Accounting, Real Estate, Business Administration, or a related field.

Experience

· Minimum of 3 years of relevant work experience in property tax, commercial real estate insurance, or a similar role.

· Experience with property tax protests, insurance claims, and budget forecasting preferred.

Knowledge, Skills and Abilities

· Strong understanding of commercial real estate taxation and insurance practices.

· Proficient with Microsoft Excel and Office Suite; experience with Yardi strongly preferred.

· Excellent analytical, organizational, and documentation skills.

· Strong interpersonal and written/verbal communication skills.

· Self-starter with a focus on process improvement and attention to detail.

· Ability to manage multiple priorities and work cross-functionally.

· Knowledge of relevant federal, state, and local property tax and insurance regulations.
