Job Summary:
The Legal Assistant plays a critical support role within MIMCO’s Legal Department by providing comprehensive administrative, document management, and legal project coordination services. This non-exempt position supports attorneys and legal staff across all aspects of the acquisition, disposition, and management of commercial retail properties, ensuring that legal operations run efficiently and effectively. This position exists in a temperature-controlled environment.
Essential/Key Functions:
- Assist with drafting, reviewing, and managing commercial lease agreements and related documentation. Perform legal related tasks including proofreading legal documents, drafting correspondence and entity documentation, and reviewing legal content for accuracy and consistency.
- Coordinate multiple legal projects simultaneously, litigation matters, and bankruptcy filings, secretary of state filings, and assist with real estate closings.
- Organize and maintain legal documents using paper and electronic filing systems.
- Prepare and distribute weekly status reports on internal and external legal matters for review by other departments and MIMCO leadership.
- Document written processes for the department and take minutes at internal meetings.
- Collaborate with internal departments to support timely closings and legal project execution.
- Review and process new insurance claims and incident reports; organize claim resolution strategies and monitor timely resolution.
- Assist transaction coordinators on real estate matters as needed, including reviewing title commitments and exception documents, preparing transactional documents (leases, amendments, deeds, escrow instructions, etc.), and performing due diligence.
- Assist in the selection and implementation of legal department tools, processes, and software improvements to increase operational efficiency.
- Ensure all legal projects and contracts are accurately entered and maintained in MIMCO systems.
- Perform in a manner that will prevent errors and omissions.
- Comply with MIMCO policies and procedures.
- Physical presence on the job is essential and necessary.

Requirements
Minimum (Required) Qualifications:
Education
Associate degree or equivalent combination of education or experience required (bachelor’s degree preferred)
Experience
· Experience working as a paralegal or legal assistant at a law firm.
· Experience working at title company,
· Experience working as a project manager.
Knowledge, Skills and Abilities
· Excellent verbal and written communication skills.
· Great attitude and the ability to learn quickly.
· Excellent project management skills, time management, collaboration, delegation, forecasting and risk management.
· Ability to multi-task and prioritize work assignments to meet deadlines and job requirements.
