Job Description
We are currently seeking a highly organised and passionate Conference & Events Coordinator to support the planning, coordination, and execution of conferences, meetings, and events at Hotel Chadstone Melbourne MGallery.
This role is a fantastic opportunity for someone looking to grow their career in Events, Conference Services, and Hotel Operations, working closely with sales, operations, and clients to deliver seamless and memorable events.
Responsibilities include:
Coordinate all aspects of conferences and events from initial enquiry through to event delivery
Act as the main point of contact for clients, ensuring clear communication and exceptional service
Prepare event orders, contracts, function sheets, and internal event documentation
Liaise closely with Food & Beverage, Kitchen, Front Office, and AV teams to ensure flawless execution
Conduct site inspections and assist with client planning meetings
Ensure all event details are accurately communicated to operational teams
Maintain detailed records and manage multiple events simultaneously
Support the Conference & Events and Sales teams with administration and event logistics
Ensure all events align with brand standards and guest expectations
Qualifications
Previous experience in conference, events, or hotel operations is highly regarded
Understanding of hotel departments and event workflows
Strong organisational and multitasking skills
Excellent communication and interpersonal skills
High attention to detail and problem-solving ability
Ability to work in a fast-paced environment with changing priorities
Hospitality, Events, or Business qualifications are an advantage
