About the Role

Description

We are seeking an organized and detail-oriented Administrative Assistant to support daily office operations. This role involves a variety of administrative tasks, including the preparation and processing of documents, shipments, and financials. The ideal candidate will possess strong multitasking skills, an ability to work independently, and attention to detail. The Administrative Assistant will also be expected to provide backup support for phone management when needed.

Key Responsibilities:

  • Assemble tax returns by gathering necessary documents and ensuring accuracy.
  • Prepare UPS shipments, including labeling, packaging, and scheduling pickups.
  • Process financial documents and assist with the preparation of reports.
  • Handle outgoing mail by sorting, labeling, and ensuring timely distribution.
  • Collect shredding materials and ensure secure disposal of sensitive documents.
  • Monitor and check office supplies; stock inventory and place orders as needed.
  • Regularly update views and manage information within Workstream.
  • Scan documents and files to maintain digital records and ensure accessibility.
  • Serve as a backup for answering phones and directing calls as necessary.

Requirements

· High school diploma or equivalent degree

· 2+ years of experience

· Ability to multitask 

· Excellent verbal and written communication

· Ability to follow instructions 

· Ability to manage time effectively
