About the Role

Agile Robots is a global leader in industrial and humanoid robotics, integrating advanced machine learning and robotic vision to redefine the future of work. Headquartered in Munich with a global workforce of 2,500+, we are now establishing our North American footprint. This is a rare opportunity to join as a foundational member of our US team, shaping the culture and operations of our Silicon Valley Headquarters.

The Role as the Office Manager, you are the operational heartbeat of our Palo Alto HQ. You won’t just manage a space; you will build the infrastructure for our US expansion, supporting both our corporate leadership and our North Bay Service & Repair Center. We are looking for a high-ownership "architect of order" who thrives in ambiguity and is excited to wear multiple hats.

Schedule: On-site, Monday–Friday, core office hours: 9:00 AM – 5:00 PM

Key Responsibilities

1. Operational Excellence & Facility Stewardship

  • HQ Ownership: Lead day-to-day operations for our Palo Alto facility, ensuring a world-class environment for engineers and executives.
  • Vendor & Asset Management: Manage all third-party relationships (landlords, contractors, IT, and catering) and oversee procurement for the office and kitchen.
  • Regional Support: Provide remote operational support for our North Bay service and repair facility to ensure regional cohesion.

2. Strategic Administrative Support

  • Executive Partnership: Provide high-level logistics support, including complex calendar management, global travel coordination, and expense reporting for the leadership team.
  • HQ Liaison: Act as the primary bridge between the Silicon Valley team and our Munich HQ, ensuring global alignment in communications and processes.

3. People, Culture & Onboarding

  • Cultural Catalyst: Design and execute team events, offsites, and community-building initiatives that reflect our innovative spirit.
  • Talent Logistics: Own the "Day 1" experience for new hires, coordinating workspace setup, IT readiness, and operational onboarding.

4. Scaling & Special Projects

  • Process Architecture: Create structure where it doesn't exist. Develop office manuals, safety protocols, and workflows that can scale as we grow.
  • Financial Administration: Support light bookkeeping, including invoice processing, budget tracking, and vendor payment coordination.

Experience & Attributes

  • Experience: 5+ years in Office Management or Operations, ideally within a high-growth startup, VC firm, or premium hospitality environment.
  • The "Startup DNA": A "no task too small" mentality combined with the ability to solve complex, ambiguous problems independently.
  • Communication: Exceptional verbal and written skills with a professional, approachable presence.
  • Business Acumen: Basic proficiency in budgeting and procurement; familiarity with California workplace compliance is a plus.

Education: Bachelor’s degree preferred, or equivalent experience in a fast-paced corporate environment.
