Principle Purpose of Job
The Accounts Receivable Clerk will ensure collection of all group and wedding advance deposits, posting of receivable charges and payments to the correct accounts in a timely manner, and ensuring compliance with financial policies. This role performs daily financial transactions, including invoicing, collecting deposits, and recording transactions in our property management system. The position requires accuracy, organization, and the ability to maintain financial integrity while supporting accounting operations.
Essential Duties and Responsibilities:
- Maintain an accurate records of deposits due, deposits received, and managing calendars of multiple groups at a time.
- Initiate group billing accounts, files, and advance deposit invoices.
- Maintain all shortfall and cancellation information; ensure charges are posted prior to final invoicing.
- Track deadlines on receipt of deposits if anyone is delinquent report Controller & Sales Manager.
- Collect payment on all accounts aged in accounts receivable. Also ensure that all accounts have been moved off Catering & PMS to AR once final invoice has been sent to client.
- Review all past due accounts to determine collectability of accounts. Recommend action to be taken on uncollectible accounts
- Attend pre-conference, BEO and conference review meetings.
- Process accounts receivable, ensuring timely invoicing of groups/weddings, ranches owner accounts, and owner accounts.
- Manage incoming receivables in a timely manner ensuring folio payments are posted.
- Reconcile travel agent and other vendor commissions.
- Handle all customer inquiries courteously, efficiently, and promptly. Including but not limited to credit card charge backs and any other guest or group billing questions and/or disputes.
- Clear out PMS House accounts on a regular basis with goal being the last workday of each month these accounts are settled to a zero-dollar balance. Setup new accounts as needed.
- Assist other departments as needed regarding AR billing.
- Assist in other areas of accounting as requested by the Controller or Staff Accountant.
Requirements
- Bachelor’s degree in accounting or related field preferred, or equivalent experience.
- Strong understanding of bookkeeping and accounts receivables principles.
- Proven ability to calculate, post, and manage financial records with accuracy.
- Proficiency in Microsoft Office, especially Excel; experience with accounting software (Data Plus, QuickBooks) preferred.
- High level of accuracy, attention to detail, and ability to work independently.
- Strong analytical skills with the ability to assess and improve financial processes.
- Effective communication and collaboration skills for working with vendors, management, and staff.
- Ability to maintain confidentiality, uphold financial integrity, and work in a fast-paced environment.
Compensation Description:
$20.00 - $25.00/hr Competitive pay commensurate with education and experience.

Due to the nature of our 24-hour operation, there is no guaranteed work schedule. Managers will try to accommodate specific schedule requests, but they are never guaranteed if business volume prohibits.
