Job Title: HQ- Administration support

Department: Nursing / Medical Operations 

Location: Limitless Male Headquarters 

Reports To: Director of Nursing & Medical Compliance  

Role Purpose 

The HQ-Based Medical Assistant plays a critical role in delivering The Limitless Way Patient Experience, ensuring Performance Meets Care through centralized clinical and virtual support. This role enhances clinical excellence, efficiency, and patient confidence by supporting prescription workflows, the Apollo virtual platform, training initiatives, and operational needs across all locations. 

This position exists to elevate consistency, safety, communication and quality while empowering clinics to deliver exceptional men’s health care. 

Core Responsibilities

Centralized Prescription Ordering (Excellence & Expertise)

• Manage centralized prescription ordering between the EMR and Pharmacy Platform with a high level of accuracy and attention to detail 
• Ensure correct medication selection, dosing, pharmacy routing, and documentation 
• Support controlled substance compliance and medication safety standards 
• Proactively identify and resolve prescription discrepancies before patient impact 

Virtual Platform Support – Apollo (Efficiency & Patient Experience)

• Assist with daily operations of the Apollo virtual platform 
• Message patients in a professional, timely, and patient-centered manner 
• Communicate patient needs, updates, and concerns to providers clearly and efficiently 
• Support coordination of care between patients, providers, and clinic teams 
• Assist with patient invoicing related to virtual services as needed 
• Ensure accurate documentation and follow-through on all virtual interactions 

Training & Education Support (Expertise & Excellence)

• Assist with development, coordination, and reinforcement of EMR training 
• Support onboarding and ongoing education for MSSs, Providers, and PRCs 
• Promote consistent clinical workflows, standards, and best practices system-wide

Requirements

Qualifications 

• Certified or Registered Medical Assistant (preferred, not required) 
• Experience with prescription workflows and EMR systems (RXNT preferred) 
• Experience supporting virtual care platforms
• Strong communication, organization, and problem-solving skills 
• Ability to work independently while supporting multiple clinics and providers
