Under the direct supervision of the Partner in Charge, this position provides administrative support for the office. In addition to typing, filing and scheduling, includes responsibilities such as financial recordkeeping, serving as the initial point of contact for client inquiries and payments, coordinating meetings and conferences, obtaining supplies, coordinating direct mailings, and working on special projects.
The Administrative Assistant will be responsible for, but not limited to, the following.
Responsibilities:
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail. Drafts written responses or replies by phone or email when necessary. Responds to regularly occurring requests for information.
- Answers incoming phone calls. Takes messages or handles routine and non-routine questions.
- Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the partner in charge, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings.
- Types and designs general correspondence, memos, charts, tables, graphs, business plans, etc.
- Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for the accuracy and clarity of the final copy.
- Assembles and e-files tax returns. Assembles financial statements.
- Responsible for the appearance of the office from front to back, including lobby clean-up.
- Maintains client files. Oversees supply ordering for office. Serves as the coordinator of office projects and client tax returns.
- Manages petty cash, submits accounts payable to the home office, processes client meetings, and manages meeting minutes.
