Events Intern—Position Summary 


The Events Department Intern will report to the Events Coordinator and play a key role in supporting events that welcome new Ambassador Teachers, as well as other tasks related to supporting international teachers. This internship is ideal for individuals passionate about event planning and interested in gaining hands-on experience in the international education and J-1 cultural exchange sectors within a fast-paced business environment.


Essential Functions

  • Assist full-time staff with day-to-day operations and event planning.
  • Support on-site, fast-paced Arrival Orientation.
  • Provide additional support, as needed, for future events such as Fall Orientation and other partner or staff events.
  • Help coordinate and conduct hotel arrivals and departures processes for Ambassador Teachers.
  • Set up materials and rooms for events, including:
    • Session setup
    • Meals 
    • Networking, connection, and celebration events
  • Assist with drafting event surveys.
  • Support staffing coordination efforts through a variety of administrative and organizational tasks.
  • Help review potential venues for upcoming events.
  • Perform other duties as assigned.

Requirements

Key Knowledge, Skill, Ability and Education Requirements 

Education and Certification

  • Pursuing a Bachelor’s degree in Hospitality, Business, Education, or a related field preferred.

Experience

  • Prior experience in event planning, coordination, or setup.

Technical Proficiency

  • Proficiency in Google Workspace (Docs, Sheets, Slides, Forms, and Drive) for event planning, collaboration, and documentation.
  • Experience using Gmail and Google Calendar for scheduling.
  • Familiarity with Zoom for virtual meetings.
  • Basic knowledge of event registration or survey tools (e.g., Google Forms, Cvent, and SignUpGenius).
  • Ability to use presentation tools (e.g., Google Slides or Canva) for event materials and visual content.

Communication Skills

  • Strong writing, proofreading, and speaking skills.
  • Outstanding interpersonal skills, with the ability to collaborate effectively across teams and with partners.
  • Bilingualism is a plus, though not required.

Project Management and Organization

  • Highly organized with the ability to manage multiple projects and priorities simultaneously.
  • Strong attention to detail and commitment to delivering high-quality results by determined deadlines.
  • Capability to accomplish projects with minimal supervision, demonstrating strong initiative and self-direction.

Other Essential Skills

  • Ability to lift boxes up to 20 lbs.

Other Essential Requirements

  • Available to:
    • Work onsite for 40 hours per week, including evening and weekend shifts. Some weeks may also require overtime hours.
    • Regularly travel between the Chapel Hill office and event venues in Durham and Carrboro.
    • Spend 2-3 weeks in D.C. for Arrival Orientation sessions.
