The Licensing & Revenue Operations Specialist is a dual-focus role designed to drive financial growth through active sales management and meticulous revenue oversight. This position serves as a "utility player" within our Licensing department, bridging the gap between partner negotiations and detailed data auditing.
As a key member of our Bozeman-based team, this role relies on consistent, in-office presence five days per week to allow for seamless, real-time collaboration across our Acquisitions, Accounting, and Copyright teams. The Specialist ensures 100% billing accuracy and optimized content distribution within a fast-paced, high-energy environment.
Requirements
1. Sales, Licensing & Account Stewardship
- Communication Management: Act as the primary point of contact for inbound partner inquiries, including custom prompts, licensor interviews, and talent release documentation.
- Full-Cycle Licensing: Execute lead research, issue quotes (one-off, bulk, and subscription), and negotiate distribution and revenue-share agreements.
- Account Management: Lead client calls, manage contract renewals, and facilitate whitelist requests to maintain platform and IP integrity.
- Content Pitching: Conduct daily library analysis to proactively pitch assets based on specific client needs and aggregation requests.
- Compliance & Integrity: Maintain meticulous records within our internal database to ensure global contract compliance and data accuracy.
2. Revenue Operations & Financial Oversight
- Billing Ownership: Direct the end-to-end billing cycle, including drafting invoices and tracking payment deadlines in coordination with the Accounts Receivable (AR) group.
- Usage Auditing: Execute regular audits of partner download reports, cross-referencing internal data to identify discrepancies or unauthorized usage.
- Data Reconciliation: Investigate missing file IDs and unassociated usage by cross-checking legacy data to ensure precise revenue allocation.
- Performance Reporting: Monitor and report on revenue trends to validate billing accuracy across all reporting methods (rev-share, self-reports, and subscriptions).
3. Departmental Operations & Strategy
- Workflow Administration: Facilitate daily department operations, including licensing inbox oversight, task delegation, and coordination of the master calendar.
- Process Improvement: Assist in the development and refinement of Standard Operating Procedures (SOPs), email frameworks, and contract templates.
- All-Hands Mindset: Contribute to the team's overall success by tackling additional tasks and special projects as assigned; we operate with a "no task too small" approach to meet the needs of a growing business.
Qualifications & Competencies
- Education: Bachelor’s degree in Business, Communications, or a related field preferred.
- Experience: 2+ years of success in sales or account management; familiarity with media licensing and copyright is a significant plus.
- Technical Skills: High proficiency in Google Workspace and Microsoft Excel (specifically data organization and basic formulas).
- Industry Fluency: Highly savvy across social media platforms (YouTube, Facebook, Instagram) and emerging video trends.
- Soft Skills: Strong negotiation ability, an eye for detail, and a results-driven mindset.
- Presence: You must be capable of regular, reliable, and timely attendance in our Bozeman office. We rely on in-person collaboration to keep the gears turning.
Physical Dimensions & Environment
While performing the duties of this role, the employee is often required to: sit; use hands in repetitive motions to finger, grasp, handle, or feel; and talk or hear. The noise level in the work environment is typical of that of an office. Employees may encounter frequent interruptions throughout the workday. The employee is occasionally required to: stand; walk; and lift or reach with hands and arms.
The employee must be able to operate routine office equipment, including computer terminals and keyboards, telephones, copiers, facsimiles, and calculators. Must be able to routinely perform work on a computer for an average of 6-8 hours per day. Must be capable of regular, reliable, and timely attendance in our Bozeman office. Must be capable of climbing/descending stairs in an emergency. Ability to lift 20 pounds.
Specific vision abilities required: The worker is required to have close visual acuity to perform activities such as preparing and analyzing data and figures; viewing a computer terminal; and visual inspection involving the review of detailed contracts and reports.
