About the Role

 ALLWEST is seeking an experienced Project Assistant to join our growing Spokane, WA team. Our team of diverse and driven professionals fosters an environment of collaboration and growth. ALLWEST is an employee-owned geotechnical engineering, environmental, and construction materials testing firm serving the Inland Northwest and beyond. We have six offices located in Idaho, Washington and Montana.


General Responsibilities:
As a Project Assistant, you’ll use effective communication and coordination skills to help the project team meet their goals. Ideally, you’re a self-starter, super-organized, and detail oriented. You're able to use a variety of administrative software and bring office-process knowledge to aid in the success of our project teams. Successful candidates are willing and able to learn new processes and software, eager to further their responsibilities, demonstrate a high level of personal accountability and possess a positive, can-do attitude! Essential functions are as follows:

  • Courteously answer and appropriately direct incoming calls.
  • Schedule field and laboratory work as needed.
  • Coordinate schedules to ensure team members are servicing our clients efficiently.
  • Prepare and complete professional correspondence to both internal and external clients.
  • Send, receive, process, and distribute mail and client deliverables.
  • Prepare draft billing statements and assist with final client invoicing.
  • Assist with accounting functions and take actions within guidelines provided.
  • Assist Area Manager and Project Managers with accounts receivable and collection efforts.
  • Complete project set-up and document filing as appropriate.
  • Review and edit technical documents including daily field reports and engineering related documents.
  • Attend virtual bi-weekly Project Assistant (PA) meetings for coordination and training with PA's from other ALLWEST offices.
  • Perform other administrative duties as assigned to keep office functions running smoothly.

Experience & Certifications:

  • Associate degree (or higher) in related field or 3+ years of applicable experience.
  • Proficiency with Microsoft Office Word, Excel, and Outlook with excellent word processing and editing skills.
  • Ability to collaborate and communicate with others.
  • Fundamental understanding of the construction industry, engineering, and related applications.
  • Proficiency/familiarity with Unanet AE (ERP software) and/or other web-based accounting and scheduling software is a plus.
  • Experience in the Architectural/Engineering/Construction Industry is a plus.

  • Strong attention to detail.
  • Ability to adapt positively to changing priorities and evolving processes.
  • Experience using tablets and computers, and ability to effectively use applicable software.
