What Does an Administrative Assistant do? 

As an Administrative Assistant, you are responsible for managing the coordination of services to clients and visitors within the office. This role will require a positive team attitude and support for the office and front desk environment. This position will have the opportunity to become licensed in insurance and service clients.

The Administrative Assistant role plays an important role in our business. An Administrative Assistant is eager to learn and adapt to meet the changing needs of the organization. Core Duties and Responsibilities 

  • Answer phone calls that come into our main line 
  • Use systems to look up customers and transfer calls  
  • Greet visitors  
  • Distribute incoming mail, as well as prepare and send outgoing mail, including packages 
  • Assist in scheduling conference rooms as needed 
  • Support the team by scanning policies, downloading documents, and uploading documents into agency system 
  • Ordering and stocking office supplies for Eden Prairie office and assist other offices as needed 
  • Assist with printing and assembling sales and client materials as needed 
  • Assist in catering orders 
  • Partner with vendors on office equipment and supplies in the market 
  • Clean and maintain the reception lobby, copy rooms, conference rooms, and office kitchens 
  • Assists with building communication to other tenants as needed 
  • Assist with projects as determined by leadership 
  • This position has the opportunity to become licensed in insurance and service clients 

Requirements

 

  • 2-year degree preferred or equivalent experience 
  • At least 1 year of customer service experience, preferably in the food and beverage or retail industry 
  • Ability to organize and prioritize work responsibilities  
  • Highly effective interpersonal skills 
  • Independent and a self-starter 
  • Ability to maintain a professional demeanor in an office environment 
  • Strong communication skills, written and verbal 
  • Microsoft Outlook and Excel knowledge preferred 
  • Able to adapt to and lead in an environment that is fast paced and lead others through change
