ABOUT THE POSITION
The Coordinator, Pharmacy Services - Infusion is a hands-on, project-based role designed to strengthen day-to-day infusion operations, with a primary focus on medication access and intake workflows. This role functions as an operational executor who studies frontline processes, identifies gaps, resolves workflow issues in real time, and serves as a frontline operations partner while contributing to best-practice development and improvements that enhance speed-to-start, adherence to payer requirements, and overall patient experience. The coordinator will leverage operational experience and frontline insights to support the development of updated workflows, job aids, and practical training materials that elevate staff readiness and operational consistency.
Principle Duties and Responsibilities
- Troubleshoot medication access workflows, including benefits verification, prior authorizations, contract alignment, and payer-required documentation.
- Coordinate and track appeals and denials, ensuring timely submission, follow-up, and escalation.
- Partner with intake teams to ensure referrals are complete, accurate, and compliant to support efficient speed-to-start.
- Serve as a frontline resource for payer coverage questions, reimbursement pathways, and authorization strategies.
- Identify operational gaps and workflow breakdowns by reviewing performance trends, observing frontline practices, and gathering team insights.
- Recommend and support corrective actions that stabilize workflows, reduce variation, and strengthen end-to-end operational consistency.
- Contribute to the development and refinement of best-practice workflows, SOPs, training content, and process improvements that enhance reliability and patient experience.
- Collaborate closely with clinicians, intake teams, payer relations, revenue cycle, and pharmacy operations to improve workflow coordination and resolve operational challenges.
- Provide field-informed insights, trends, and feedback to leadership to support decision-making, resource planning, and training initiatives.
- Analyze operational metrics, maintain clear documentation of findings, and support the creation of updated workflows, job aids, and quick-reference materials.
Requirements
Education
Required: Bachelor’s degree. In lieu of a Bachelor’s degree, a high school diploma with 7+ years of relevant experience.
Experience
Required: 3+ years of experience in infusion services including traditional and specialty pharmacy intake and / or medication access workflows.
Preferred: Experience supporting intake or referral management workflows in an AIS (Ambulatory Infusion Suite) or home infusion setting.
Licensure
Preferred: Active Pharmacy Technician certification/licensure
Skills and Abilities
- Extensive experience with all payer types including Medicare, Medicaid, and commercial payers, with knowledge of payer requirements, prior authorizations, benefits verification, appeals, and denials processes.
- Strong analytical and problem-solving abilities with a track record of managing complex cases and translating operational data into actionable insights.
- Skilled communicator with the ability to collaborate effectively across cross-functional and field-facing teams in fast-paced environments.
- Proficient with EMR systems, authorization portals, and Microsoft Office/365
- Knowledgeable in payer contracting, reimbursement strategy, and access/navigation workflows.
- Familiarity with home infusion regulatory standards (URAC, ACHC, Joint Commission)
- Experienced in process improvement methodologies such as Lean or Six Sigma.
