About the Role

The Maintenance Parts Clerk plays a key role in supporting the maintenance team by organizing, tracking, and maintaining the inventory of parts, tools, and supplies necessary for equipment reliability and uptime. This role ensures that critical spare parts are available, accurately inventoried, and issued as needed. The Maintenance Parts Clerk works closely with the Reliability Coordinator, maintenance technicians, and vendors to streamline parts usage, manage inventory levels, and support preventive maintenance efforts.

Essential Functions:

Inventory Management

  • Organize and maintain the maintenance parts room to ensure cleanliness, accessibility, and logical storage of all items.
  • Receive incoming parts and supplies, verify accuracy against purchase orders and packing slips, and enter items into inventory systems.
  • Accurately issue and track parts used by technicians through the Computerized Maintenance Management System (CMMS).
  • Perform regular cycle counts and full physical inventories to ensure data integrity.

Ordering & Restocking

  • Assist in maintaining optimal inventory levels by monitoring usage trends and flagging low stock levels.
  • Support the Reliability Coordinator with generating purchase requests for replenishment of stock items.
  • Communicate with vendors as needed to track deliveries and resolve discrepancies.

Documentation & Systems

  • Maintain detailed records of inventory movements, part numbers, and vendor information in the CMMS.
  • Update and maintain parts catalogs, equipment bill of materials (BOMs), and storage location records.
  • Support maintenance and engineering in locating parts during equipment breakdowns or scheduled repairs.

Team Support & Coordination

  • Collaborate with maintenance technicians to understand upcoming needs for projects or preventative maintenance.
  • Ensure fast and accurate support for emergency part needs during downtime situations.
  • Identify obsolete or excess inventory and assist in organizing and disposing of these items following internal policies.

Food Safety Requirements:

  • Maintain food safety and food quality through completing job tasks and maintaining work areas in a sanitary manner.
  • Report food safety problems to personnel with authority to initiate action.
  • Participate in food safety training.


Education + Experience:

  • High school diploma or equivalent required; additional technical or inventory control training a plus.
  • 1–3 years of experience in inventory management, warehousing, or parts room support (preferably in manufacturing or maintenance).
  • Basic understanding of mechanical and electrical parts and tools.
  • Familiarity with CMMS or inventory tracking systems; experience with SAP, Fiix, or similar a plus.
  • Strong organizational skills and attention to detail.
  • Ability to lift up to 40 pounds and stand/walk for extended periods.
  • Proficient in Microsoft Office (Excel, Outlook, Word).

 Physical Requirements

  • Ability to lift, move, and shelve parts and materials regularly (up to 40 lbs).
  • Frequent walking, standing, bending, and reaching.
  • Use of hand trucks, carts, and occasional operation of a forklift or pallet jack (training provided if needed).
