The Branch Administrator will provide comprehensive administrative support to the General Manager and branch operations across two New York locations. This role supports all administrative, clerical, and sales-related functions necessary to keep branch activities running efficiently. The Branch Administrator will also perform the traditional responsibilities of a Sales Administrator, including processing sales quotes, drafting sales contracts, and coordinating the execution of sales documentation. This position plays a key role in supporting sales, service, parts, and rental activities within a heavy construction equipment dealership environment.
Branch Administration & Clerical Support
- Provide direct administrative support to the General Manager for both branches.
- Perform general clerical duties including filing, scanning, data entry, and document management.
- Code vendor invoices accurately and submit them to Accounts Payable for processing.
- Maintain organized branch records and ensure documentation is stored according to company policies.
- Assist with branch communications, scheduling, and coordination of internal requests.
Sales Administration
Responsible for administering all aspects of the sales lifecycle, including:
- Maintain and organize all deal files.
- Administer and maintain all sales documentation, including but not limited to:
*Deal calculation sheets
*Sales orders
*Credit applications/submittals
*Financial documents
*Purchase orders
*Warranty documents
*Titles/MSOs
*Lien searches
*Preventative Maintenance (PM) contracts - Submit and maintain credit approvals.
- Complete all general invoicing necessary for equipment costing.
- Submit contracts for payment, track documentation, and ensure funding is received.
- Provide required documentation to internal personnel and mail customer copies.
- Notate machine/equipment files regarding PM contracts and after-sales services.
- Administer Rental Purchase (RPO) process.
- Administer governmental and cooperative sales processes (bids, cooperative purchasing programs).
- Maintain the Pending Deal list.
Sales Support
- Process sales quotes in coordination with the sales team.
- Assist in drafting and preparing sales contracts.
- Coordinate execution of sales documents between Sales, Finance, and the customer.
- Provide support to Sales Representatives as needed.
- Maintain consistent communication with field sales staff.
- Understand and support company sales policies and procedures to ensure proper customer service.
- Assist the Sales Operations Manager as needed.

Education/Training
- Associate Degree or equivalent preferred
Experience
- Prior clerical and accounting experience helpful
- Experience in an administrative or sales support role preferred (especially in equipment, construction, or related industries)
