POSITION SUMMARY

We are seeking a detail-oriented HRIS Manager to support the organization’s multi-state operations through effective management of our HRIS platform. This role is responsible for maintaining data integrity within Paylocity, managing system configuration for newly onboarded and transitioning communities, overseeing user access and entity setup, and supporting reporting and integration needs across the organization. The ideal candidate is highly analytical, thrives in a fast-paced environment, and brings a strong understanding of HRIS systems, data governance, and compliance-focused problem-solving.


KEY RESPONSIBILITIES

HRIS Management

  • Manage HRIS-related onboarding and offboarding activities for newly acquired or divested communities within Paylocity.
  • Coordinate with Paylocity to establish new legal entities, company codes, and organizational structures for newly onboarded communities.
  • Maintain data integrity within the HRIS by ensuring employee, organizational, and payroll-related data is accurate, complete, and compliant with internal standards.
  • Support communities with employee intercompany transfers, including ensuring accurate movement of employee records between entities and tax jurisdictions.
  • Create, modify, and inactivate user access within Paylocity for company set-level accounts in accordance with internal security and role-based access protocols.
  • Troubleshoot employee system access issues, including login and self-service functionality, in coordination with internal HR and Payroll support teams.
  • Manage the transfer of communities within Paylocity when ownership changes occur, including transitions to new legal entities and EINs.
  • Partner with Payroll and HR leadership to support organizational restructuring activities impacting HRIS data or system configuration.
  • Assist Service Center and departmental leadership with HRIS reporting needs by developing and maintaining system-generated reports.
  • Manage HRIS-related projects, including implementation of system enhancements and supporting integrations with external platforms via API or SFTP data feeds.
  • Serve as the primary point of contact for HRIS system configuration updates and integration support with third-party vendors.
  • Serve as the primary point of contact for HRIS-related SOX compliance audits, including providing system documentation, access control reviews, and data integrity support.
  • Monitor and maintain system configuration settings to ensure alignment with organizational structure, reporting requirements, and compliance standards.
  • Maintain documentation of HRIS processes, system configurations, integrations, and data workflows.

Payroll Operations Backup Support

  • Provide backup support to the Director of Payroll by reviewing and submitting community payrolls and final pay calculations in accordance with established payroll review and approval controls.
  • Assist Payroll Team with community payroll processing during periods of absence or increased workload to ensure adherence to documented payroll procedures and processing timelines.
  • Maintain cross-training in payroll processes and internal controls to support continuity of operations and compliance with payroll governance standards.

Auditing & Process Improvement

  •  Conduct regular internal audits to ensure data accuracy and regulatory compliance.
  •  Recommend and implement process improvements to streamline HRIS operations.
  •  Develop and maintain HRIS SOPs, ensuring consistency and clarity.

Requirements

CANDIDATE QUALIFICATIONS

  •  At least 5+ years of payroll and/or HRIS management experience, preferably in a multi-state environment.
  •  Experience with Paylocity preferred or other HRIS systems.
  •  High level of accuracy, attention to detail, and confidentiality.
  •  Proficiency in Microsoft Excel (XLOOKUP, pivot tables, formulas).
  •  Strong analytical skills with the ability to troubleshoot complex issues.
  •  Excellent communication and customer-service orientation.
