We are seeking a dependable and experienced individual to join our medical team as a part-time Patient Care Coordinator - Front Desk based in New Albany, OH with some travel to our Pickerington clinic.
Responsibilities
- Greet and assist patients in a professional, compassionate manner; schedule appointments and maintain accurate patient records in the EHR.
- Protects patients’ rights by maintaining confidentiality of medical, personal, and financial information in compliance with HIPAA and clinic standards.
- Verify insurance coverage and maintain patient accounts by obtaining, recording, and updating personal, insurance, and financial information at each visit.
- Serve as the primary point of contact for workers’ compensation patients and external stakeholders (employers, adjusters, case managers, attorneys), coordinating care, scheduling, and communication in alignment with approved services.
- Collect co-pays, outstanding balances, and payments (cash, check, credit card); issue receipts and ensure funds are accurately balanced and secured per policy.
- Communicate clinic procedures, patient-related policies, and general information clearly and professionally; address routine patient questions and concerns.
- Apply appropriate customer service skills and proactive communication when interacting with patients, families, providers, and staff.
- Assist ill, distressed, or vulnerable patients as needed, including responding to emergencies and arranging transportation when appropriate.
- Maintain a clean, safe, and welcoming patient waiting area and front office environment.
- Monitor office inventory and equipment; anticipate supply needs, place and track orders, verify receipt, and coordinate equipment service or repairs.
- Maintain patient flow by notifying providers of patient arrivals, monitoring appointment schedules, and communicating service delays to ensure timely care.
- Ensure vendors and visitors sign in and wear appropriate identification in accordance with clinic protocols.
- Scan and upload paper records to the appropriate patient charts in the EHR promptly and accurately.
- Open, sort, and distribute incoming mail; prepare and deliver outgoing mail as required.

Requirements
- High School diploma or equivalent.
- Recent front desk experience in a medical setting.
- BLS certified preferred.
- Knowledge of medical terminology and medical environment a plus.
- Knowledge of insurance a plus.
- Exceptional customer service skills.
- Ability to multi-task, problem solve, and prioritize tasks based on urgency.
- Friendly, positive and professional demeanor.
- Ability to work cooperatively and communicate effectively with others.
- Flexibility, promptness, and desire to be a team player.
