About the Role

Description

Overview:

  • Responsible for answering incoming phone calls, checking in/out patients, handling money transactions based on patient balance, ability to assist patients.


Main Responsibilities:

  • The CCS I will work as a part of the clinic team to ensure that patients receive the best possible customer service.
  • Opening procedures (unlock front door, turn on T.V.’s, music is playing, vacuum common areas/room, and check restrooms)
  • Checking-in/out patients and handling money transactions including setting up payments plans and cash drops
  • New patients – getting the consent signed, verifying measures are completed, scanning insurance, driver’s license into the chart and taking patient’s photo
  • Answer phones and check voicemails on designated inbox
  • Call late/no show patients after 5 minutes of their scheduled appointment time
  • Verify patient’s demographics (address, phone number, insurance information, appointment reminders, guardians, guarantor, e-mail address)
  • Taking messages and e-mailing patient questions to CCS II for designated provider, then documenting with date and time in the patient’s chart
  • Set-up/remove notifications, as needed
  • Schedule new patient and follow up appointments
  • Assist CCSIIs with faxing ROI’s, disability/FMLA paperwork
  • Uploading medical records to patient’s charts
  • Check bathrooms twice/daily, ensure cleanliness and stocked with paper towels/toilet paper
  • Dust/wipe down countertop surfaces, including patient waiting areas, common areas throughout office and clean glass windows on office doors
  • Closing procedures (ensure cleanliness throughout the office and receptionist spaces, take out the trash throughout the office, and ensure all doors are locked prior to leaving premises)
  • Other duties as assigned
  • Present appropriate, courteous customer service to all patients present or on the telephone

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required.

  • Minimum 1 year of relevant experience preferred
  • Experience in an outpatient medical office preferred
  • Graduation from an Accredited College, University, or trade school with a degree, license, or certificate in a relevant field preferred
  • High School diploma or equivalent required
  • Must possess superior written and verbal communication skills
  • Ability speak, read, and write English fluently required
  • Must demonstrate proficiency in the use of a Windows Computer and Microsoft office products
  • Must adhere to HIPAA and HIITECH guidelines at all times
