This role assists the Aquatics Director in managing the administrative office operations of the Aquatic Center, performing general clerical duties such as reception, filing, scheduling, and handling correspondence and reports. Essential duties include managing participant registration, collecting revenue, handling customer inquiries via phone and in person, and performing facility opening and closing procedures.

About the Role

SUMMARY: Assists the Aquatics Director in coordinating and managing all operations of the Administrative Office of the Tupelo Aquatic Center. Performs general clerical duties including acting as receptionist, filing, scheduling, and general office work. Answer citizen concerns in person or by telephone; enters data to prepare and processes correspondence and reports as directed; prepares meeting minutes. Receipts for funds and/or perform other tasks as directed.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Handle registration of participants and assists in the Department activities, including recreational and competitive programming, special events, swim meets, and other opportunities.
  • Receipts and collects generated revenue money.
  • Prepare and provide some correspondence, forms, replies, reports and documentation as required for communication.
  • Handles large phone system for information and questions.
  • Enters all participants and events into computer programs.
  • Greet customers while providing information about the opportunities available. Must be able to give facility tours.
  • Must be available to work flexible hours, including evenings, weekends, and holidays.
  • Perform opening and closing procedures of the Tupelo Aquatic Center.
  • Assist in facility set-up for all aquatic programs, events, meetings, and meets.
  • Other duties as assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education and/or Experience: High School Diploma or GED; one to two years related experience and/or training; or equivalent combination of education and experience. Must be computer literate in the areas of Microsoft Office. 

Language Skills: Ability to read, analyze, adapt, interpret policy and institute policy, as well as illustrating superb communication skills and monitoring, investigating and solve of customer problems. 

Mathematical Skills: Ability to perform mathematical calculations including addition, subtraction, multiplication, division, percentages fractions, discounts, interest, and commissions. Understand and apply basic accounting principles and practices.

Reasoning Ability: Ability to maintain mental capacity, which permits making sound decisions and using good judgment; Ability to interpret instructions and refer problems to appropriate areas.

Certifications, Licenses, and Registrations: Valid drivers license.

  • The work may involve use of the hands for simple grasping, pushing, pulling and fine manipulation of objects, some tools and office supplies and equipment.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
  • The employee is regularly required to talk and hear.

  • While performing the duties of this job, the employee regularly works around in an inside-office environment. The employee will be required to be outdoors when commuting between City departments or during required errands for the City. The indoor noise level is moderate.
