JOB SUMMARY

The DOT Compliance Coordinator will report to/work under the Director of Compliance. The DOT Compliance Coordinator will assist with day-to-day processes to support the Compliance Department to ensure full compliance with all U.S. Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), and state regulations governing commercial vehicle operations. The ideal candidate is knowledgeable in DOT regulations, highly organized, and capable of managing multiple administrative tasks in a fast-paced environment.

Requirements

PRIMARY RESPONSIBILITIES

  • Assist in monitoring electronic logging device (ELD) data for violations, falsifications, or discrepancies.
  • Assist with driver onboarding compliance processes.
  • Assist with the Drug & Alcohol program (random, post-accident, reasonable suspicion) and maintain compliant records.
  • Assist drivers with ELD troubleshooting.
  • Assist with yearly vehicle licensing and maintaining compliant records.
  • Assist with maintaining Driver Qualification Files (DQF) to ensure all documentation is current (CDLs, medical cards, MVRs, etc.).
  • Assist with updating records in the driver management and training systems (JJ Keller, Infinit-I, etc.).
  • Review and verify data for accuracy and completeness, identifying and reporting any discrepancies.
  • Communicate with drivers in person, by phone, etc.
  • Maintain confidentiality and data security protocols, ensuring sensitive information is handled with discretion.
  • Assist in generating and updating reports, spreadsheets, and other data-related documents as needed.
  • Assist in the maintenance and organization of digital and physical data records, adhering to file management best practices.
  • Collaborate with other departments as needed to ensure data is entered and shared accurately and efficiently.
  • Working alongside the Director of Compliance to gain an understanding of our industry and the Department of Transportation Compliance.


SKILLS & REQUIREMENTS

  • Bilingual in English/Spanish is preferred.
  • Prior experience working with Class A Drivers.
  • Prior experience with daily driver logs.
  • Knowledge of DOT Regulations and HOS.
  • Previous experience working with JJ Keller Encompass is preferred.
  • Strong emphasis on attention to detail.
  • Able to operate independently with daily assigned tasks.
  • Collaborates with a variety of departments (Team player).
  • Effective communicator.
  • Ability to work in a fast-paced environment.


WORKING CONDITIONS

  • Primarily office-based, performing administrative tasks and data entry.
  • Frequent interaction with drivers and internal teams, in person, by phone, or virtually.
  • Fast-paced environment with attention to deadlines and accuracy of compliance data.
  • Exposure to sensitive information requiring adherence to confidentiality and data security protocols.
  • May involve occasional interruptions or multi-tasking due to communications with drivers and other departments.


PHYSICAL REQUIREMENTS

  • Ability to sit for extended periods while performing computer-based tasks such as data entry, report generation, and spreadsheet management.
  • Frequent use of hands and fingers for typing, filing, and handling documents.
  • Visual ability to review logs, spreadsheets, and compliance documentation for accuracy.
  • Occasional lifting or carrying of light office materials (generally under 15 lbs).
  • Ability to communicate effectively in person, by phone, and through virtual meetings.
