This isn't a support role; it's the backbone of our Sales Department. You'll manage bids from the first document to the final contract, serving as the go-to expert for a company that has spent over eight decades earning customer trust. What You Will Do:
- Manage the entire bid process from start to finish, including document preparation, submission, and follow-up.
- Serve as the primary point of contact for all bids, bid renewals, and contract-related matters.
- Maintain, update, and manage all state order forms, pricing sheets, and related bid documentation to ensure accuracy and compliance.
- Coordinate and complete vendor registrations and vendor portal requirements related to bids, contracts, and procurement opportunities.
- Assist with phone calls and email communications when team members are unavailable.
- Develop and maintain a structured documentation and file-storage system for analyzing competitors, bid tabulations, historical bids, and contract records.
- Ensure all folders are organized, updated, and maintained with each new bid, contract, and relevant market intelligence to support ongoing competitive analysis and business development efforts
- Communicate with internal teams to gather required information and supporting documentation for bids and proposals.
- Ensure compliance with all bid requirements, deadlines, and submission guidelines.
- Respond to inbound calls and web leads.
- Prepare and provide accurate quotes for customers as needed
- Utilize Customer Relationship Management (CRM) platform when needed
- Perform other duties as assigned.
Requirements
- Excellent organizational skills and attention to detail.
- Exceptional verbal and written skills.
- Prior contract and bid experience preferred
- A desire to work in a team environment.
- Ability to meet deadlines.
- MS Outlook and MS Professional Office Suite experience.
- Experience in CRM system preferred.
- Bachelor’s degree in a business-related or technical field preferred.
