Position Summary:
The Public Relations/Marketing Assistant provides support services to the Public Relations/Marketing team (as outlined by the Public Relations Marketing Manager and Director of Marketing & Communication). Functions include but are not limited to sorting, prioritizing, and distributing mail; ordering supplies; filing/logging; and miscellaneous clerical functions. The Assistant is responsible for answering the telephone for the Public Relations/Marketing area. He/she receives, screens, prioritizes, delivers, and/or responds to messages as directed by hospital policy and/or the above-mentioned leaders’ requests. Assists with financial processing of orders and events of all kinds—for public and for staff. The assistant is key to optimizing all department functions.
Essential Functions:
- Maintains calendars; displays cooperative attitude when schedules are changed.
- Establishes and maintains cooperative relationships with staff, peers, supervisors, and patients. Interacts with respect for the feelings of others.
- Displays awareness of supportive functions and the proper procedures required to utilize those functions.
- The work produced is accurate, complete, and with attention to detail.
- Assists in organizing and establishing priorities for Public Relations/Marketing team by identifying opportunities for efficiency within the department. Takes ownership of those opportunities as appropriate.
- Exhibits great personal efficiency in all tasks.
- Provides clerical assistance with reports, memos, visitors, data collection, information gathering, and reporting as needed.
- Maintains accurate, organized records/files and can easily find information when requested.
- Serves as contact person for questions and meeting requests with Public Relations/Marketing staff and the Director of Physician & Provider Relations.
- Schedules service line meetings, coordinating among attendees and assists with agenda preparation.
- Plans, implements, and promotes corporate events for staff, which includes—but is not limited to—events for Hospital Week, Fall Frenzy, and all other employee events.
- Plans recognitions related to healthcare observances, per department guidelines.
- Takes, maintains and distributes meeting minutes from attended meetings.
- Manages distribution of department credit card usage and reconciliation.
- Orders office supplies and furnishings as requested.
- Assists in maintaining, tracking, organizing, and inventorying materials.
- Supports all other functions of the department as needed.
- Assists with special events as needed and all other duties as assigned.
- Helps foster attitudes of confidence and respect for the Hospital on part of the community, while developing the Hospital’s overall image.
- Models Horizon Health’s Behavioral Standards using PRIDE guidelines.
- Follows all policies and procedures as established by Horizon Health, including confidentiality.
The responsibilities listed above are not all-inclusive; other activities may be required in support of the hospital's goals and objectives.
Position Requirements:
- High school graduate; Associate Degree preferred.
- Must be self‑motivated, willing to take initiative, and able to work without supervision.
- Strong time management skills are required; ability to juggle multiple projects in a fast-paced environment.
- Exceptional verbal and written communication skills are required. Must be able to read, write, and speak the English language. Must be able to follow written/oral instructions.
- Must have good organizational skills, with great attention to detail.
- Must be able to deal effectively and tactfully with stressful situations; maintain a calm, cool exterior.
- Must be a team player, willing to offer coverage and support as appropriate.
- Experience with MS Word, MS Excel, and MS Teams preferred.
- Must be able to attend various off-hours hospital committee meetings and events as needed.
Pay Rate:
Pay ranges from $216.605/hour to $26.015/hour (rate of pay is based on applicable years of experience)
Hours: Monday- Friday 8am-5pm
