We are currently seeking a Document Controller to join our team in Balcatta in a full time, contract role.
The successful applicant will be a self-motivated, highly organised professional with strong communication skills, who can collaboratively work with the Project Team to undertake ongoing analysis on costs, revenue, and profit per project, prepare monthly billing files, and coordinate purchase requisitions (purchase orders) and invoice payments for subcontractor services.

- Experience in a similar role
- Degree and/or experience in finance will be highly regarded
- Intermediate to Advanced Excel skills
- Strong analytical skills, accuracy and attention to detail

Job Description
Responsibilities
- Audit IFMS document repositories (including SOS and other storage systems) to identify
- outdated, duplicate, missing, or redundant documents, and action required updates,
- consolidation, or removal.
- Update and prepare documentation to meet the requirements of the new vested IFMS contract,
- supporting a clean, accurate, and well‑organised transition.
- Maintain accurate and well‑governed IFMS documentation across all platforms, ensuring strict
- version control, consistent naming conventions, and correct metadata.
- Coordinate the full document lifecycle, creation, review, approval, publishing, storage, and
- retirement, ensuring documentation is progressed in a timely manner.
- Maintain an organised, intuitive, and accessible storage structure across all IFMS streams,
- ensuring documents are correctly located, logically categorised, and easily retrievable.
- Review documents for quality, accuracy, completeness, and formatting prior to release,
- escalating issues or inconsistencies where appropriate.
- Provide guidance, support, and training to project teams and contributors on document control
- processes, standards, tools, and system usage.
- Communicate documentation updates, workflow expectations, and system changes to
- stakeholders to ensure clarity, alignment, and consistent application.
- Ensure all documentation meets organisational governance requirements, contractual
- expectations, and internal compliance standards.
- Maintain the security, authenticity, and integrity of documentation across controlled systems.
- Identify opportunities to improve document management processes, templates, workflows, or
- system structures, and recommend enhancements to increase efficiency and consistency.
- Drive consistency in management systems documentation so that common terminology and
- language is used and formatting is uniform.
- Develop procedures and documentation in coordination with various departments.
- Resolve day-to-day issues and provide ongoing support to ensure the information is accurate at
- all times with respect to SOS and the management system
- Documents are maintained in the system in accordance with document review timeframes
Knowledge & Skills
- Strong understanding of document control principles, including lifecycle management, version control, naming conventions, and metadata standards.
- Ability to apply structured taxonomy to organise large document libraries and ensure logical, consistent categorisation.
- Knowledge of information management practices, including document retrieval, maintenance, review cycles, and secure storage.
- Understanding of quality and governance requirements relating to controlled documents.
- Demonstrated capability working within digital document management platforms, including Intranet based systems, SharePoint, and other enterprise document repositories.
- Competence in building, updating, and maintaining pages or content within document platforms (e.g., creating folders, updating webpages, adjusting permissions).
- Ability to troubleshoot system issues and support users in navigating document storage systems. Intermediate proficiency across Microsoft Office Suite (Word, Excel, Outlook, Teams) and familiarity with cloud‑based collaboration tools.
- Strong digital literacy, including evaluating online information, understanding security risks, and working effectively with cloud‑based platforms.
- High level of attention to detail in reviewing, formatting, and validating documentation.
- Ability to check for completeness, accuracy, and consistency across multiple document sources.
- Commitment to maintaining high‑quality outputs and meeting organisational standards.
- Strong communication skills with the ability to clearly explain document control requirements, processes, and system usage to stakeholders.
- Ability to engage with varied project teams and support contributors in preparing or submitting documentation.
- Skilled in preparing or editing documentation so that it meets organisational clarity and formatting standards.
- Ability to assess large volumes of documentation, identify redundancies, and make recommendations for consolidation or retirement.
- Strong analytical capability to identify inconsistencies or structural issues within document libraries.
- Proactive approach to identifying opportunities to streamline processes, improve document quality, or enhance system usability.
Qualifications
- Senior Secondary Certificate of Education (minimum).
- Certificate III/IV or Diploma in Business Administration, Information Management, Project Administration or related discipline (desirable).
- Training or certification in document control, records management, or quality systems (advantageous).
