Lifemed is a CLOSED DOOR (Not Retail) Pharmacy! We serve Assisted Living, Skilled Nursing and Psychiatric facilities in the North State. We are family-led and locally owned since 1957 and have a great reputation in the communities we serve.

Currently seeking a Support Services Supervisor to support our Support Services Billing Team.

Operations

Ensure the day to day functions of the Long Term Care Pharmacy are running efficiently, effectively and providing safe patient care.

  • Ensure billing and collections staff has the tools, training and information they need to complete their jobs.
  • Collaborate with Leadership to ensure schedules meet the needs of business demands.
  • Support the Assistant Manager and Manager in the scheduling and oversight of staff.
  • Ensure strong and positive relations with other Owens companies and divisions 
  • (Infusion, Sales and Marketing and Durable Medical Equipment, Friesen Foundation, Friesen Group.)
  • Support Manager and Assistant Manager in all shared duties and responsibilities including timecards, interviewing, and staffing.
  • Remain a proactive problem solver, involving the appropriate levels of leadership.
  • Collaborate with Manager and Assistant Manager to update processes to ensure safe patient care, adherence to regulation and positive facility relations.
  • Review and approve all invoices and collaborate with Finance to ensure timely payment.
  • Assist Vice President in all efforts to improve business performance.

Process Improvement

Evaluate and assist in all process improvement efforts across the Pharmacy business.

  • Identify, publish and facilitate company Key Performance Indicators.
  • Identify and develop operating systems to improve performance increasing efficiencies and reducing costs.
  • Conduct periodic audits of practices that have an impact on patient and employee safety.
  • Assist VP in evaluating process performance to establish improvements by implementing new systems, procedures and policy.
  • Align work processes with financial and quality performance metrics and ensure stakeholders are aware and understand the metrics.

Financial Management

Support and manage the financial performance and strength of the pharmacy

  • Provide input to and communication of the financial goals and budget of the company.
  • Review company financial performance monthly and provide input and explanation for positive and poor performance.
  • Assist inventory management to perform analysis of inventory and ensure effective utilization.
  • Ensure projects are delivered within budget.
  • Provide training and communication to pharmacy teams regarding revenue and GM performance.
  • Utilize pharmacy systems and sales and marketing data to identify growth opportunities, costs and ROI.
  • Provide leadership with recommendations for revenue streams; their status and areas to discontinue, grow or add.
  • Assist in the planning and response to discontinued medications and replacement revenue and costs.
  • Develop internal auditing systems with KPI results dashboard and communication strategy.
  • Review and submit all appropriate documentation to PBM with potential issues and recommended solutions.
  • Conduct regular legal reviews for financial sustainability and compliance.
  • Develop and or comply with audit policies and procedures to ensure compliance with BOP and regulatory agencies.
  • Analyze purchasing strategy and identify maximum savings and utilization of rebate ROI.
  • Develop purchasing review system to ensure cost retention and quality products are utilized.
  • Establish regular EOM reporting with accurate and timely results; provide key themes and trends to leadership with recommended improvement opportunities.
  • Ensure billing team has knowledge and cross training on production of the EOM report.
  • Develop a monthly report card for leadership to examine the key KPI.

Customer and Sales Services

Provide and ensure exceptional customer service to all customers, internal and external.

  • Consult with Leadership to address customer service and contract issues with a continuous improvement mindset and approach.
  • Identify established vendor list with priority relationship identified.
  • Advocate for our pharmacy services among vendors to secure competitive pricing.
  • Manage vendor relationships and identify new vendors for consideration.
  • Work collaboratively with Finance to ensure proper payment, reduced fees and increased savings.
  • Assist VP in the management and oversight of brand management for Lifemed

Other Duties as Assigned

Conduct, collaborate and or delegate additional company duties as requested or identified. 

  • Coordinate all meetings, agendas and distribute minutes appropriately.
  • Identify industry trends.
  • Encourage engagement and participation among staff members.
  • Provide positive feedback and reassurance to team and individuals when appropriate.
  • Conduct meetings in a professional and timely manner.
  • Remain open to change and adapt with consideration of all work styles and temperaments.
  • Provide input to and action item support for company strategy, process improvement and change management.
  • Provide project management to Infusion services in areas identified in the strategic planning process of Lifemed.


Requirements

Experience

  • 3 years related experience in billing, vendor contract management experience

Education

  • Bachelor’s Degree in related field preferred. Applicable experience may be accepted in lieu of education.

Special Skills

  • Previous Supervisory experience, Strong computer skills, revenue cycle experience
