Overview
The Accounting Manager, Billing oversees invoicing, driver payments, third-party invoice processing, and month-end reconciliation for domestic household goods (HHG) and warehousing services. This role ensures accurate revenue capture within the correct financial period and supports contract compliance through shipment rate calculations and billing audits. The Manager also oversees A/R staff and contributes to cross-functional projects that enhance billing operations and financial reporting.
Responsibilities
- Accountable for invoicing, reporting, and collections across multiple service lines, including Local, Commercial, Military, Interstate, International, GSA, and State Department shipments
- Support month‑end close activities, including work‑in‑process (WIP) accruals, reconciliations, and financial reporting
- Oversee sales commission and job cost entries, including coordination with Accounts Payable and Payroll
- Ensure accurate rating and billing in accordance with applicable commercial and government contract rates, including GSA Industrial Funding Fee (IFF) requirements
- Perform shipment calculations for Interstate and Intrastate moves and resolve complex billing and job‑costing inquiries
- Conduct detailed job costing analysis to support accurate revenue recognition and margin reporting
- Utilize Government Electronic Billing and Shipment Management Systems to process electronic fund transfers and perform billing reconciliation
- Maintain expertise in, and train team members on the use of web‑based customer and government portals, including billing and compliance systems
- Prepare driver manifests and manage contractor settlements; audit subcontractor payments and manage 1099 documentation
- Review customer credit applications, approve credit terms, process credit card transactions, and authorize refund requests
- Maintain, reconcile, and distribute accounting records, schedules, and management reports
- Provide leadership on special projects and continuous improvement initiatives to enhance billing accuracy, compliance, and operational efficiency
- Support internal and external audits, including preparation of documentation, responding to inquiries, and implementing corrective actions as needed
- Supervise and manage A/R and billing staff, including hiring, onboarding, performance management, coaching, and ongoing development
- Enforce company policies and procedures; approve time sheets and PTO; address performance issues and lead regular team meetings to promote communication and knowledge sharing
- Perform additional duties as required to support the Accounting Department and enterprise financial objectives
Qualifications
- 3–5 years of experience in job costing, accounts receivable, and accounts payable; experience in Government, Military, or international billing preferred
- Proficiency in Microsoft Excel, Word, Outlook, and Windows
- Strong mathematical and analytical skills
- Highly organized, detail-oriented, and deadline-driven
- Ability to thrive in a fast-paced, dynamic environment
- Excellent interpersonal skills with a positive, collaborative approach
- Industry experience in relocation, logistics, or government contracting is a plus
