UGL Regional Linx was established in 2021, after parent company, UGL Limited was selected to deliver operations and maintenance of rail infrastructure for the Country Regional Network (CRN). This network ensures the safe movement of people and goods throughout the regions of NSW, and links Sydney with many important regional centres. UGL Regional Linx commenced operations on January 30 2022 and works on behalf of the client, Transport for NSW (TfNSW) and will be responsible for managing an important network of assets. As part of its operation, UGL Regional Linx’s scope of work includes: • Network operations • Rail infrastructure maintenance and implementation of a new train control system - UGL’s proprietary system, Sigview. • Asset and property management, and • Safety, access, performance, and environmental management. UGL Regional Linx has made a strong commitment to local and indigenous employment, further strengthening the organisation’s commitment to regional NSW. As part of its operations, UGL Regional Linx established its head office and Network Control Centre in the heart of the Central West, Orange, NSW. The CRN network includes: • 2,386 route kilometres of operational passenger and freight rail lines, including 996 km of branch line track used predominantly for haulage of grain, with lower mass and speed limits than other parts of the network • 3,139 route kilometres of non-operational lines • 27,000 hectares of land and infrastructure • 1,312 level crossings (300 active) • 1,200 property assets (including 356 heritage sites) • 600 rail under bridges and 384 road overbridges The CRN is a crucial piece of infrastructure to regional NSW and UGL Regional Linx is committed to ensure that it delivers for all customers, from rail passengers to farmers and industry.

UGL’s Industrial & Resources division are currently seeking an experienced Project Administrator, working from our Bennetts Green Workshop & Site Based Work.
The role is a 12-month contract.

We are seeking an experience site administrator with relevant and recent experience working within a similar role and industry.

Key responsibilities and accountabilities:

  • Coordination of all site mobilisation & demobilisation requirements ranging from travel, accommodation, inductions, training, PPE, IT access and new starter information, including subcontractors
  • Meet and greet new starters / transfers on arrival.
  • Coordinate Visitor and Sub-Contractor travel, accommodation, and site access.
  • First point of contact for all payroll queries, to be responded to within appropriate timeframes.
  • Upload of site labour to client and internal system on a weekly basis
  • Raising vendor and subcontractor purchase order requisitions, processing vendor and subcontractor invoices within required timeframes (e.g. support good receipting, equipment deliveries, tracking of maintenance needs/ damage reports etc.)
  • Maintain filing systems and databases to ensure compliance to quality and management systems.
  • Maintain site training matrix and records.
  • Ad-hoc administration tasks required by Project team.
  • Goods Receipt of vendor invoices
  • Purchase order set up
  • Timesheet changes in SAP
  • Subcontractor set up and reporting.

Qualifications and Education Requirements

  • Strong communication skills (oral & written) including strong negotiation and influencing skills and the ability to establish effective working relationships with a variety of people at different levels both internally and externally.
  • Demonstrated ability to work autonomously to organise and prioritise demands, handle multiple complex tasks simultaneously, set and meet deadlines and follow-through within a fast-paced environment with multiple demands.
  • Proficient skills in computers: MS Word, Excel, Access, email.
