We’re looking for an organized, energetic, and people-loving Office Manager & Executive Assistant to the CEO to join our growing team at Alison.ai!
In this role, you’ll take full ownership of the day-to-day running of the office, provide direct administrative support to the CEO, and lead initiatives that make our company an amazing place to work. From office operations and travel coordination to employee experience and company events - you’ll be the heart of the team, ensuring everything runs smoothly (and with a smile).

Key Responsibilities
- Oversee daily office operations, including supplies, maintenance, mail, and vendor management (cleaning, security, catering, food delivery, tech support, etc.).
- Provide proactive administrative support to the CEO - manage scheduling, travel, meetings, and follow-ups.
- Welcome and set up new employees on their first day, partnering with the HR team to plan onboarding logistics (equipment, desk setup, welcome gifts, etc.).
- Support employee engagement initiatives, including birthdays, anniversaries, new hires, swag, and internal celebrations.
- Maintain a welcoming, functional, and well-organized workspace that reflects our culture.
- Plan and manage team events, happy hours, and office activities within the welfare budget.
- Support office layout, seating plans, and logistics for office moves or expansions.
- Coordinate company-wide travel (flights, hotels, logistics) for employees and visitors using Mesh travel system.
- Be the face of the company for guests and visitors, ensuring a professional and positive first impression.
- Create and sustain a fun, inclusive, and productive environment aligned with our company culture.
Requirements
- Previous experience as an Office Manager, Executive Assistant, or in a similar operations/administrative role (startup experience is a big plus!)
- Highly organized, detail-oriented, and proactive - someone who loves making things run efficiently.
- A true people person with excellent interpersonal and communication skills.
- Ability to manage multiple priorities and stay calm under pressure in a fast-moving environment.
- Passionate about improving processes and creating great employee experiences.
- High level of written and spoken English - a must!
