Overview:
Under minimal supervision, the Executive Assistant to the Chairman Of The Board is responsible for providing comprehensive support to the Chairman Of The Board and the executive team.
Essential Functions and Key Responsibilities:
- Work closely and effectively with the Chairman Of The Board and keep him well informed of upcoming commitments and responsibilities on a daily basis.
- Manage an extremely active calendar of appointments.
- Arranging complex and detailed travel plans, itineraries, and agendas, and compiling documents for travel-related meetings.
- Require interaction with internal and external executives.
- Manage the Chairman Of The Board’s expense reports.
- Composing and preparing correspondence.
- Maintain and ensure confidentiality of certain information and correspondence.
- Handle matters expeditiously, proactively, and follow-through on all projects to successful completion. Often with deadline pressures.
- Handle incoming and outgoing electronic communications on behalf of executive team.
- Assist with preparation of presentation materials and reports.
- Performing minor accounting duties.
- Organize meetings, including scheduling, sending reminder and organizing catering when necessary.
- Provide hospitality to all guests, especially those meeting with the Chairman Of The Board.
- Attend executive meetings and track actions items.
- High level of interaction with all C-level executives, SVPs, VP’s and other leaders throughout the company.
- Oversee general office duties such as replenish office materials as needed, sorting mail, maintaining record management, and assist with day-to-day projects.
- Assist with company events as needed.
- Run errands for the Chairman Of The Board, professional and personal, and for company matters as needed.
- Other projects/duties as assigned from the Chairman Of The Board .
Qualifications/Basic Job Requirements:
- 5+ years of relevant executive assistant experience in C- level/executive administration roles.
- Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision.
- Be a results-driven achiever with excellent organizational skills.
- Ability to interact with staff in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality.
- Expert level written and verbal communication skills, strong decision-making ability and attention to detail are equally important.
- Advanced computer skills and MS software, especially excel, required plus photocopier, fax machine, phone system.
- Friendly, outgoing and have a professional demeanor at all times with a can-do attitude.
- An exceptional listener and communicator who effectively conveys information verbally and in writing.
- Have stamina, drive and perseverance to handle pressure well and consistently make deadlines.
- Ability to manage multiple assignments, set priorities and adapt to changing conditions as needed. Ability to switch gears at a moment’s notice.
- Leading or assisting with professional research projects as needed.
- On occasion, ability and willingness to work overtime with little or no advance notice to complete own work and help others as needed. This could include weekends, evenings, and holidays as needed.
