Position Summary

The Judicial Assistant I is an entry-level position within the Justice Court system, responsible for providing clerical and administrative support to the court. This role involves daily interaction with the public, court officials, attorneys, and defendants, and requires a high level of professionalism, accuracy, and efficiency in handling court processes. The position supports the general operations of the court by processing legal documents, answering inquiries, and maintaining case files.


Starting Pay: $19.60 per hour

FLSA Status: Non-Exempt

Schedule: Full-time, 40-hours per week. After training, the schedule is Monday - Thursday (10AM - 6PM) and Friday (9AM - 5PM)

Essential Duties and Responsibilities

  • Public and Agency Communication: Answer phone calls and in-person inquiries from the public, attorneys, government agencies, and defendants. Provide general information related to traffic violations, criminal cases, court procedures, and hearings.
  • Legal Document Preparation: Prepare standard documents such as subpoenas, summonses, court orders, and letters for judges, attorneys, and defendants. Assist in distributing court documents and maintaining accurate records of all correspondence.
  • Case File Maintenance: Organize and update criminal and traffic case files. This includes entering data into the court's management system, docketing case activity, and ensuring all records are up-to-date for hearings and court orders.
  • Warrant and Probation Monitoring: Monitor court-ordered activities such as warrants, probation conditions, counseling sessions, and other legal requirements. Ensure that all relevant parties comply with the court’s mandates.
  • Financial Transactions: Process payments for fines and other fees. This includes handling payments in person, by mail, and over the phone. Maintain accurate records of payments and provide receipts to defendants.
  • Conflict Management: Engage with defendants, some of whom may be upset or difficult to manage. Handle these situations with tact and professionalism, diffusing conflicts when possible.
  • Administrative Support: Provide general administrative support to the court, including filing, scanning, and organizing records.
  • Other duties as assigned.

Requirements

  • Basic knowledge of legal terminology and court procedures.
  • Strong organizational skills and attention to detail.
  • Ability to work well under pressure and manage multiple tasks.
  • Proficiency in computer usage, particularly in word processing and case management systems.
  • Excellent customer service and communication skills.

Education and/or Experience

  • High school diploma or equivalent. 
  • Associate's degree in criminal justice, public administration, or related field is preferred.

Language Skills

  • Must be able to communicate effectively in English both verbally and in writing.
  • Bi-lingual in Spanish preferred.

  • Occasional unconventional hours as required.
