JOB SUMMARY: The Camp Administrator plans, directs, and coordinates customer-facing activities such as billeting and invoicing, and provides internal support for the Sag River Living Facility.
Essential Functions:
Key Responsibilities:
· Supports the Camp Manager and provides excellent customer service to guests staying at Sag River Camp.
· Provide friendly, professional service to clients.
· Completes billeting activities and requirements and disseminates reports daily.
· Conducts month-end preparations for invoicing to clients, including receiving pre-approvals from clients and coordination with corporate finance functions for invoicing.
· Provides rates that are approved by either the Camp Manager or President to clients.
· Engage in business development activities to persuade new clients to stay at Sag River.
· Coordinate activities to oversee proper, safety and cleanliness standards are adhered to.
· Perform invoice audits of third-party subcontractors and vendors, ensuring efficient operations.
· Receive and make operational recommendations based upon client feedback at camp.
· Create and maintain strong working relationships with clients at Sag River Camp.
· Direct sub-contractor employees to ensure the proper inventory of supplies for living quarters and OC service contractors.
· Assist Camp Manager to ensure service orders for living quarters are completed in a timely manner.
· Assist Camp Manager on month end closing with accurate invoicing information, and back office support when/as needed.
· Create and maintain inventory ordering and associated controls at internal commissary in the camp.
· Supports the corporate Safety Plan through personal involvement in all aspects of safety pertaining to daily operations.
· Accomplishing all assigned duties and responsibilities in accordance with corporate policies and procedures, and applicable local, state, and federal laws and regulations.
· Coordinate special projects as directed by the President or Camp Manager.
· Ensure compliance of all work-related activities in a fair, ethical, and consistent manner.

Requirements
KNOWLEDGE, SKILLS, & ABILITIES:
· Ability to manage personnel check-in/check-out processes
· Strong document control and recordkeeping capabilities
· Ability to manage confidential personnel and client information
· Strong written and verbal communication skills
· Travel booking and coordination
· Support coordination of crew changes and mobilization planning
· Track and communicate headcount changes to catering, housekeeping, and operations
· Assist with visitor processing and orientation coordination
· Coordinate meeting schedules, safety meetings, and camp communications
· Audit invoices from vendors as needed
· Assist with purchase requisitions and purchase orders
· Track camp consumables and office supplies
· Coordinate vendor deliveries and shipment tracking
· Support cost tracking and invoice reconciliation
· Support client reporting requirements
· Act as primary administrative point of contact for camp operations, and client representatives
· Assist with camp announcements and bulletins
QUALIFICATIONS:
· Strong administrative and coordination experience supporting remote camp operations
· Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams) and reporting tools
· Experience performing billeting and maintaining camp rosters, room assignments, and bed tracking
· Experience working in remote or rotational work environments
· Previous experience in remote man camp, oil & gas, mining, or construction camps
· Experience with camp management and billeting
· Experience with timekeeping systems
· Understanding of remote logistics and supply chain constraints
· Experience supporting 300+ person camp populations
