Job Title: Accounting Clerk Apprentice
Employment Type: Full-Time, Non-Exempt
Location: Guam

JOB DESCRIPTION

SUMMARY: Under the direct supervision of the Accounting Supervisor the Accounting Clerk Apprentice assists the team in preparing Accounts Payables and Accounts Receivables entries. Assumes other special duties and responsibilities as required by Manager.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Prepare receipts, invoices, and deposit slips.
  • Input entries for daily deposits to appropriate ledger accounts.
  • Verify incoming Vendor Statements and contact vendors for copies of unpaid invoices.
  • Input cash disbursements to appropriate expense accounts.
  • Prepare checks for expenses incurred.
  • Prepares weekly expense reports for Manager.
  • Ensure vendors are paid in a timely manner by verifying Purchase Order Logs for various Departments.
  • Files check copies to appropriate file.
  • Prepare invoices for various Customers / Principals and ensure revenues are inputted in appropriate accounts.
  • Prepare Disbursement Accounts to various Principals.
  • Contact various Customers / Principals to collect outstanding balances due.
  • Post transactions inputted in Payable and Receivable journals after verification from Senior Bookkeeper.
  • Photocopy, fax, scan, and or email invoice copies according to Customer requirements.
  • File invoice copies and deposit slips to appropriate files; Order office supplies; Response to incoming fax transmittals and emails.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

GUAM REGISTERED APPRENTICESHIP REQUIREMENTS:

  • High School Diploma or Equivalent
  • Must be at least 18 years of age or older
  • Must possess a Valid Guam Driver's License
  • Must be a US Citizen or Permanent Resident Alien
  • Have been a resident of Guam for a period not less than three (3) consecutive years before entry into the program.
  • Must be able to attend a minimum of two (2) classes per semester, while working forty (40) hours per week.

MATHEMATICAL SKILLS:

  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.
  • Good organization, communication (oral and written), and filing skills.
  • Working knowledge of manual and automated accounting systems.

REASONING ABILITY:

  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES:

  • Must type 30-40 WPM;
  • Must be computer literate (MICROSOFT WORD, EXCEL).
  • Good organization, communication (oral and written), and filing skills.
  • Working knowledge of manual and automated accounting systems, well developed financial analysis capabilities and demonstrates ability to manage computer operations and applications.
