FPMS is seeking a highly organized and professional Administrative Assistant to support the daily operations of an onsite community association office. This individual will work closely with the Community Association Manager (CAM), Board Members, residents, vendors, and corporate support staff to ensure smooth day-to-day operations within the community.

The ideal candidate will possess strong administrative skills, exceptional customer service abilities, and the capacity to multitask in a fast-paced property management environment. Candidates should be polished, dependable, and capable of maintaining professionalism while handling resident concerns and operational requests.


Qualifications

  • Previous administrative experience required; HOA, condominium, or property management experience preferred
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Professional demeanor and customer service mindset
  • Ability to work effectively with residents, vendors, and Board Members
  • Proficiency with Microsoft Office and property management software platforms
  • Ability to handle confidential information with discretion
  • Strong attention to detail and follow-through
  • Bilingual (English/Spanish) is a plus


Requirements

 Key Responsibilities

  • Assist in the daily operations of the community association office
  • Answer phones professionally and respond to resident inquiries in a timely manner
  • Coordinate resident maintenance requests and track service orders
  • Maintain accurate resident records and community databases
  • Assist with violation processing, correspondence, and follow-up
  • Prepare and distribute community notices, letters, and communications
  • Support the Community Association Manager with administrative and operational tasks
  • Maintain organized records, logs, and office documentation
  • Coordinate vendor scheduling and assist with project tracking
  • Provide exceptional customer service to residents, homeowners, and Board Members
  • Assist with meeting preparation, agendas, and community events as needed
