Summary/Position Objectives:

The position is responsible for coordinating facility, mailroom services and processes and IT administrative functions for Maryland Physicians Care (MPC). Included within the range of responsibility is the maintenance of the mailroom and equipment, the coordination of receiving and distributing mail, incoming equipment, supplies and packages, preparation and packing of the required marketing materials for field staff workers, as well as coordinating the company’s fulfillment printing needs. Works with property management to ensure any facility-related issues/problems, inspections, facility updates are resolved, processed, and/or communicated accordingly. Works with a broad range of commercial contractors and vendors as required. This is a split position that will also have responsibilities supporting Network Management projects. This position reports to the Chief Operating Officer.

What You'll Do: 


Mail Room Services:

  • Coordinates the sorting and distribution of incoming mail according to procedures and schedule; the processing of daily outgoing mail, including packaging, batching, ensuring appropriate levels of postage are used.
  • Coordinates shipping through various vendors: UPS, USPS and/or FedEx and ensures all incoming and outgoing deliveries are appropriately processed and distributed. 
  • Maintains appropriate levels of supplies including printed materials and mailroom supplies. Replenishes postage on the postage meter as needed.
  • Maintains records of receipt, mailing dates, and other required information.
  • Develops appropriate “desktops” for large mailings; identifies and recommends improvements for efficiency and costs associated with large mailings.

Facility Services:

  • Ensures operational functionality and maintenance of designated equipment including photocopiers, telephones, postage machine, security system, etc. Maintains monthly equipment and facility checklist.
  • Maintains physical space, ensuring a safe, clean, and functional environment.
  • Receives, manages, and processes work order requests; ensures problems are resolved quickly.
  • Works with property management to ensure any facility-related issues/problems, inspections, facility updates are resolved, processed, and/or communicated accordingly.
  • Acts as a liaison between property management and any outside contractors needed to resolve specialized problems.
  • Serves as the primary point-person for all facility-related problems after business hours.
  • Coordinates site safety programs that ensure a safe and healthy work environment for all employees.
  • Develops appropriate “desktops” for safety.
  • Working in conjunction with the COO, assists in facilities planning and space allocation; supports and coordinates office moves (equipment/furniture) and installations.

Provider Management:

Working in conjunction with the Sr. Director Network Management and the COO:

  • Manages incoming new provider application packets through to letter response.
  • Work to attain missing required provider data and/or credentialing information, as necessary.
  • Calls providers to verify information, place and track ad hoc inquiries, or share information.
  • Fulfills mail merged events (low volume).
  • Analyzes provider data to ensure that projects are completed timely and accurately.

 


Requirements

Knowledge and Skills:

  • Previous working knowledge and experience with mail room distribution services to include basic understanding of operating instructions and processes for mail sorting/folding machines.
  • Excellent problem-solving, written, organizational and time-management skills.
  • Excels in attention to detail with high level of accuracy.
  • Works well under pressure and is able to accomplish multiple tasks, with conflicting priorities and timelines.
  • Ability to track and report progress on a wide range of tasks simultaneously.
  • Ability to respond and deal with a range of ad hoc queries/requests.
  • Ability to always operate with discretion and confidentiality.
  • Excellent proficiency with Microsoft Office 365 software applications, with emphasis on the ability to work with a various types of database software applications and Excel software applications.

Education and Work Experience:

  • Bachelor’s degree in the field of facility management or business administration. 
  • OR five (5) years of equivalent experience to include a minimum of three (3) years of work-related experience in lieu of degree.  
  • Knowledge and understanding of customer service, inventory control and equipment set-up and service functions.
  • Incumbent must have a valid driver’s license and a reliable vehicle with appropriate auto insurance.


Work Environment Qualifications:

This position is required to be in the Linthicum office daily to successfully meet the requirements. Incumbent is expected to circulate through the facility to maintain workstation furniture, perform installations, delivery throughout the facility and in general to provide business support within the areas defined. This position requires color perception, manual dexterity, and physical flexibility to perform the designated functions. 

Incumbent MUST be able to lift and carry up to 75 lbs., including but not limited to boxes, packages, office equipment, and furniture. Incumbent MUST be able to lift overhead and /or push/pull up to 75 lbs., including but not limited to boxes, packages, office equipment, and furniture. This position requires comprehension of equipment manuals, some basic mathematical skills, problem-solving, and the ability to read and follow directions.
